King County Metro Transit’s Rail Division has an exciting opportunity for an Administrator I.

This position will provide complex and critical administrative support for the division, while working closely with the team to meet the evolving administrative needs.

About Metro Transit's Expanding Rail Division

King County Metro Transit's Rail Division manages and maintains Sound Transit's Link light rail service and City of Seattle’s streetcar system.

Link light rail currently spans a 50-mile route from Federal Way to Lynnwood and a 6.6-mile route from Redmond to South Bellevue.

By the end of 2026, light rail is projected to expand to nearly 60 route miles, adding seven new stations. Additional expansions to the Link system will be coming online for years to come.

Seattle Streetcar includes the 1.3 mile South Lake Union line and the 2.5 mile First Hill line, proudly serving the diverse and vibrant communities around Seattle’s downtown core.

These rail services complement Metro's extensive fixed-route bus system and mobility services.

Puget Sound transit agencies are collaborating to create an integrated transit network that enables people to travel farther, faster, and more easily.

This recruitment will immediately fill one (1) fully benefitted Special Duty Assignment (SDA) position with an anticipated duration of 12 months, with the potential to extend.

This recruitment may be used to create an eligibility pool to fill future Special Duty Assignment (SDA) openings in this classification and within this division.

Eligibility lists remain valid for twelve (12) months upon creation, or until the list is exhausted, at the discretion of the hiring authority.

Requirements

As the Administrator I, you will:
  • Provide complex and critical administrative support, including acting as delegated authority to independently handle day-to-day administrative support duties.
  • Manage complex calendars, organize and support various meetings and events including preparing materials and agendas and taking notes while assisting with tracking and follow-up as needed.
  • Prepare, format, review, and edit formal and informal communication, standard operating procedures, policies, and documentation on behalf and in support of managers or workgroup.
  • Track project deadlines and meetings; coordinate with internal staff and external partners, and compile supporting documentation to ensure managers preparedness.
  • Maintain confidentiality by applying policies and procedures, while earning the trust and respect of co-workers through honesty, integrity, and professionalism in all interactions.
  • Use independent judgment to screen telephone calls, emails, meeting requests, and visitors to provide exceptional customer service.
  • Prepare, review, and track forms required for personnel transactions, grievances, requisition forms, purchase orders, partner agency agreements and reports, and expense reports.
  • Collaborate with the team to develop, implement, and maintain the section-wide processes that support key administrative functions such as legislation, onboarding, record retention, signature routing, correspondence, interagency agreements, invoices, and training plans.
  • Coordinate travel and training for managers and staff.
  • Maintain and update data and materials related to division functions by utilizing MS Word, Outlook, Teams, SharePoint, PowerPoint, Excel, Visio and specialized database systems (i.e. Oracle EBS, Peoplesoft, or similar such software).
  • Order and track office supplies and maintain inventory; coordinate service and repairs for office equipment as needed, including contractor coordination when needed for repairs or replacement.
  • Perform other duties as assigned.

Qualifications

Minimum Qualifications:
  • Minimum of two years experience delivering comprehensive administrative support and executing advanced administrative tasks in a large organization or complex professional setting, OR an equivalent combination of education and experience that demonstrates the necessary skills, knowledge, and abilities.
  • Proven ability to manage a high volume of diverse assignments and competing priorities in a fast-paced, dynamic, and sometimes ambiguous environment, demonstrating strong attention to detail, adaptability, and exceptional organizational skills amidst shifting deadlines and frequent interruptions.
  • Exceptional written and verbal communication skills, with a proven ability to deliver clear and professional messaging across diverse audiences—including the general public, internal teams, external partners, and executive leadership.
  • Demonstrated ability to work independently and manage various assignments and projects with strong organizational skills, sound judgment, and discretion, consistently meeting deadlines with minimal supervision.
  • Strong background handling sensitive and confidential information with professionalism, discretion, and integrity.
  • Strong interpersonal skills including a customer-focused lens with the ability to establish and maintain cooperative, respectful, and equitable working relationships with diverse colleagues, internal stakeholders, and external partners.
  • Skill in comparing records, documents and data for accuracy as well as researching/reconciling errors and discrepancies.
  • Demonstrated initiative and a proactive approach to improving work processes and team coordination.
  • Proficient in coordinating, supporting, and facilitating virtual meetings across platforms such as Zoom and Microsoft Teams.


Desirable Qualifications:
  • Intermediate experience with DocuSign, Microsoft Office Suite, including Microsoft Office Word, SharePoint, Excel, PowerPoint, Outlook, Visio, PowerBI, and Adobe Pro.
  • Experience working in a unionized environment with knowledge of union contracts and grievance tracking systems.
  • Knowledge of PeopleSoft or other similar payroll and time-keeping software.
  • Experience working in a large organization navigating complex situations.
  • Experience with Concur Travel Software or other similar software.
  • Experience with Oracle or other similar financial software.

Work Schedule
This position is anticipated to be full-time, assigned 40 hours per week. The work schedule is normally Monday through Friday, 8AM to 5PM, however there is some flexibility in start and end time. This position offers a hybrid schedule with regular on-site rotations and telework options. This position is non- exempt from the provisions of the Fair Labor Standards Act and is therefore overtime eligible, with prior supervisory approval.

  • Operations & Maintenance Facility (OMF) Central at 3407 Airport Way S., Seattle, WA.
  • Operations & Maintenance Facility (OMF) East at 1925 120th Ave NE, Bellevue, WA.
  • Union Station (401 S Jackson St, Seattle, WA 98104).
  • And any future Sound Transit Link facilities.
