The Department of State is seeking an ambitious Clerical Assistant 3 to evaluate and process a variety of licensure applications for the Business Licensing Division of the Bureau of Professional and Occupational Affairs, Cosmetology and Barber Boards. Requirements

As a Clerical Assistant 3, you will be responsible for providing advanced clerical and administrative support in the processing of licensure applications.

Work involves evaluating and processing applications to determine eligibility for licensure in accordance with established laws, regulations, and procedures.

You will also be responsible for accurately entering application data into a database, preparing and composing correspondence related to application status, deficiencies, and determinations, as well as maintaining completion and organized records.

This role requires attention to detail, strong organizational skills, and effective communication in order to support efficient operations and timely licensure processing.

Additional responsibilities include:

  • Handling, processing, and filing a high volume of documents while ensuring confidentiality and accuracy
  • Serving as point of contact for applicants and stakeholders
  • Responding to inquiries via phone and email
  • Providing clear, professional assistance regarding application requirements and procedures

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time, up to 50% upon successful completion of the 6-month probationary period.

    In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania.

    If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time.

Qualifications

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.
