Summary

This job involves providing everyday administrative help to the executive team in a state government office, including managing records for law enforcement training and certifications through a statewide database.

Key Requirements

  • One year of full-time paid experience in a technical or advanced clerical role, such as Office Assistant 3 or Accounting Technician 3 level or higher, involving administrative services like accounting, budgeting, project monitoring, personnel, or procurement
  • Substitution allowed: Additional qualifying experience can replace required education on a year-for-year basis
  • Substitution allowed: Graduate study in relevant fields can replace required experience on a year-for-year basis
  • Strong skills in documentation, record-keeping, and database management
  • Ability to compose professional correspondence, take accurate meeting minutes, and handle office operations like phone answering and supply ordering

Full Job Description

This role provides critical administrative support to the Executive Team in keeping the office running smoothly while helping to manage the Law Enforcement Professional Standards (LEPS) Program and assisting maintaining the state-wide database (LEPSIS) for law enforcement certifications and qualifications.

Key Responsibilities

LEPS Program Coordination: Assist in managing documentation and record-keeping within the Law Enforcement Professional Standards Information System (LEPSIS) to
track officer employment, training, and certification status. Assists the LEPS Program Manager with the monthly LEPS meeting preparations. Executive Support: Compose professional letters and memos for the executive team, record accurate meeting minutes for important meetings, and administrative tasks in support of the committees and subcommittees. Office Operations: Manage the front-office flow by answering phones, logging incoming mail, and ordering essential supplies. Open and track service tickets for office needs and report monthly copier counts.

Other duties as assigned.

Qualifications

Training: Graduation from an accredited college or university. Preference may be given to candidates with a major in the area of public or business administration, accounting, industrial relations, communications or related field.
Substitution: Additional qualifying experience as described below may be substituted on a year-for-year basis for the required training.
Experience: One year of full-time or equivalent part-time paid employment in a technical or advanced clerical position providing administrative services such as accounting, budgeting, project monitoring and reporting, personnel, or procurement and property. Experience must have been at the Office Assistant 3 or Accounting Technician 3 level or higher.
Substitution: Successful completion of graduate study in an accredited college or university in one of the above fields may be substituted for the required experience on a year-for-year basis.
