Under direct supervision of the Clinical Administrative Assistant performs a variety of duties for the multi program clinic, including direct contact with clinic clients and staff.

Independently performs a variety of advanced duties involved in the operations of the medical records department.

Uses knowledge of operation and program processing of information to assist all programs in maintaining a quality and comprehensive medical record.

Provides administrative support to all programs as backup receptionist.

Performs all Administrative duties required to provide Women, Infants, and Children (WIC) Services to authorized clients within the state.

Includes: Completes intake and out-take of patient data, utilizes program data systems and Microsoft Outlook systems.

Interviews individuals and determines if applicants meet the identification, residency and financial requirements for eligibility with the WIC program.

Processes information, updates client profile, assists with registering to vote, referral as appropriate, completes WIC record, completes data collection and entry into the South Carolina Women, Infants, and Children (SCWIC) system.

Provide support to WIC clients through Electronic Women, Infants, and Children (EWIC) to include card activation/issuance and issues Farmers Market vouchers.

Assist with required WIC program reports to include non-participation, discharge, Motor Voter, etc.

Provides quality customer service in a culturally competent manner in face-to-face and/or telephone encounters and maintains client confidentiality.

Ensures official Department of Public Health (DPH) forms are placed in the proper chart order in accordance with DPH policy. Interviews clients per clinic guidelines, establishes client record.

Follows WIC program security per policy and procedures. Submits Program Cost Accounting System (PCAS) and other required program reports monthly or by designated deadlines.

Participates in an emergency or major disaster to expedite services to the public as outlined in the DPH/Region plan.

During such time, the incumbent should regard her/himself as being on 24-hour call and subject to duty when such events occur, or are anticipated to occur. Other duties as assigned.

Requirements

State Minimum Requirements: A high school diploma. Related clerical experience may be substituted for a high school diploma.

Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.

Agency Additional Requirements: At least two (2) years of clerical office experience or an associate degree in secretarial science or a related field. Ability to type at a corrected rate of 35 wpm.

**Any equivalent combination of education and/or experience that demonstrates the required knowledge, skills, and abilities may be considered in meeting the minimum qualifications, subject to approval by the DPH Chief Human Resources Officer, or their delegate.**
