NATURE OF WORK:
Performs a variety of routine clerical and office support activities requiring proficiency in basic word processing, spreadsheet, and database programs.
Work requires the application of some independent judgment based upon knowledge gained through experience.
Any errors committed are easily detected, but may cause some loss of time and departmental embarrassment. Employee has regular contact with outside sources to obtain or supply factual information.
Duties are sedentary in nature, performed under normal working conditions, and require normal attention to prevent errors.
SUPERVISION:
Work is performed under general supervision, with questionable cases referred to the supervisor. Instructs new employees in their own or related work.
ESSENTIAL JOB FUNCTIONS:
Types forms, statements, letters, receipts, reports, and other material from rough drafts or general instructions, which frequently require independent action and discretion on difficulties encountered.
Composes routine letters. Operates a personal computer or visual display terminal and utilizes modern business software including word processing, spreadsheets, data bases, etc.
Maintains, develops, and refines filing systems and procedures. Prepares and files various records.
Performs computations and posts to simple bookkeeping records.
Copies data, compiles records and reports, and tabulates and posts data in record books.
Operates visual display terminal to retrieve and research information. Enters data from different source media. Checks complex data being entered into terminal for correctness, corrects errors.
Opens and routes incoming mail, and prepares outgoing mail.
Maintains routine operating and production records.
Maintains office supplies for the Department to which assigned.
Operates basic office machines.
Performs related work as required.
REQUIREMENTS OF WORK:
Knowledge of modern office/clerical practices, procedures, and methods.
Knowledge of grammar, spelling, capitalization, punctuation and terminology commonly used in office settings.
Knowledge of, and skill in applying, basic general program and office rules, processes, and procedures.
Knowledge of office automation software, such as word processing, spreadsheet and database programs.
Knowledge of basic arithmetic.
Skill in compiling readily available data from prescribed sources and recognizing and correcting obvious discrepancies and data omissions.
Skill in operating a computer terminal using a standard typewriter style keyboard and related equipment, such as printers and facsimile machines.
Ability to type accurately at a rate of 40 WPM.
Ability to keep records and prepare reports therefrom.
Ability to establish and maintain good public and employee relations.
PHYSICAL REQUIREMENTS:
Ability to see, corrected or uncorrected, sufficient enough to read fine print.
Ability to hear, with or without the use of a hearing aid, and speak well enough to converse on the telephone.
Enough manual dexterity to operate office machines and write legibly.
Enough mobility to move from one machine and one place to another.
Enough stamina to sit and stand alternately for up to eight hours.
Enough strength to lift and carry 25 lb. boxes of paper.
MINIMUM EDUCATION AND EXPERIENCE:
Open Entry Requirements: High school diploma or equivalent; AND, one year of clerical, office support, or data entry experience. One year of undergraduate education (30 semester or 45 quarter hours) may be substituted for experience.
