Full Job Description

This position is located in the Drug Enforcement Administration (DEA), Office of Administrative Law Judges.

This position primary purpose is to directly manages all administrative duties for the office. Ensures efficient and effective flow of staff papers, reports, and recommendations.

Keeps management informed on all important appointments and all administrative matters.

Applicants applying for the GS 9 Grade Level: You must have: One year of specialized experience equivalent to the GS-07 grade level in the Federal service (experience may have been gained in the private sector) that demonstrate your ability in: 1) schedules meetings, prepares and distributes meeting materials, such as agendas and other supporting documentation; 2) receives and reviews incoming correspondence prepared for the signature and approval of senior management for clarity and conciseness and ensures it is in accordance with agency policies; 3) tracks requests and communication to ensure timely and accurate responses; and 4) develops and maintains a variety of hard copy files and records that are involved in the operations of the office, as well as computerized databases of key documents.

Applicants applying for the GS 11 Grade Level: You must have: One year of specialized experience equivalent to the GS-09 grade level in the Federal service (experience may have been gained in the private sector) that demonstrate your ability in: 1) tracks pending action items and confirms staff responsibilities and timelines for completion; 2) plans and coordinates travel, accommodations and transport for senior officials and special guests; 3) works closely with senior officials in management and meeting planning, coordinating policy activities, analyzing logistical issues and recommending alternatives; and 4) develops internal operating procedures to ensure efficiency and consistency with administrative and office procedures.

Time-In-Grade Requirement: Applicants must meet time-in-grade and time after competitive appointment requirements by the closing date of this announcement. Major Duties:

As a Staff Assistant, your typical work assignments may include: Plans and develops new methods for coordinating the administrative work of a complex organization.

Independently performs administrative management functions that service and/or fulfill a number of organizational requirements.

Plans and develops new methods for providing correspondence services in a complex organization with disparate segments requiring complicated administrative controls.

Determines pertinent issues and collects relevant information from a wide variety of sources. Assists and advises staff on all procedural and administrative aspects of staff actions.
