The Finance Department is actively seeking a Safety and Administrative Coordinator.

This is safety and administrative support work providing coordination for the Risk Management Division’s safety programs. Work requires knowledge of administrative techniques, methods, and procedures used in safety programs which involve the use of specialized skills, which is acquired through a combination of training and on the job experience. Contacts require skills in understanding and influencing people and are important in resolving work-related problems or complaints. The work is standardized in that tasks are covered by substantially diversified procedures and specialized standards, requiring the use of judgment in search for solutions or new applications. The work is performed primarily in an office environment though an employee may be required to deliver or pick up mail, documents, supplies/materials or visit other sites. Operates standard office equipment such as personal computers using word processing, spreadsheet, database, email and other related software. The physical demands consist mainly of moving from one work location to another, sitting, or standing at a workstation for extended periods of time, using standard office equipment on an ongoing basis, and, dependent upon assigned work location, may be required to lift objects weighing up to 15 pounds. The work is performed under limited supervision where the work assignments are subject to established procedures and practices and is reviewed in progress and upon completion for adherence to proper procedures.
Requirements
- Maintains and tracks safety programs and systems for the Risk Management Division, including City Driver Certifications and Driver Monitoring (DriveCam).
- Uses restricted-access government systems to verify and monitor employee compliance with driver certification standards and prerequisites.
- Serves as liaison between Risk Management and internal/external agencies regarding driver safety, certification, and related compliance.
- Assists the Park Safety Officer in implementing division-wide safety initiatives and ongoing administrative processes to support facility and employee safety programs.
- Assists with the City of Jacksonville ergonomic program, including facilitating ergonomic assessments, maintaining records, and coordinating follow-up activities.
- Performs administrative tasks such as researching, compiling, and preparing data, reports, and safety-related correspondence.
- Coordinates procurement and completes check-handling processes through conclusion, ensuring compliance with City finance and purchasing procedures.
- Tracks legislation, case records, applications, or required documentation related to Risk Management safety functions.
- Monitors budgets, expenditures, and purchasing for assigned safety and administrative program areas.
- Recommends and implements administrative practices to enhance workflow efficiency within Risk Management.
- Maintains administrative files, safety records, and program documentation.
- Provides customer service by answering inquiries, resolving administrative issues, and addressing safety-related questions or concerns.
- Attends meetings to provide information, take notes, support program processes, or represent the division on administrative matters.
- Operates standard office equipment, including personal computers using word processing, spreadsheet, and database software.
- Demonstrates proficiency in the City of Jacksonville’s competencies.
- Performs related work as required.
Qualifications
- Knowledge of administrative practices, methods, and procedures relating to administrative support areas.
- Knowledge of Risk Management administrative processes, safety tracking requirements, and program documentation standards.
- Skill in researching, compiling, and interpreting data for reports and correspondence.
- Ability to interpret laws, policies, and regulations related to driver certification, ergonomic programs, and safety procedures.
- Ability to coordinate safety-related administrative activities and support program implementation.
- Ability to make and verify mathematical calculations.
- Ability to communicate effectively, both orally and in writing.
- Ability to establish and maintain effective working relationships with employees, departments, agencies, and the public.
- Ability to operate standard office equipment and related software applications.
- Dependent upon assignment, ability to travel between various locations.
Additional Information
- Five (5) years of education and/or experience in administrative work.
- Including one year performing safety-related tasks such as supporting safety programs, driver compliance, risk management functions, or ergonomic processes.
LICENSING/CERTIFICATION/REGISTRATION:
Depending upon assignment, a valid driver’s license may be required prior to appointment and must be maintained during employment in this class.
Depending upon assignment must qualify for prior to appointment, obtain, and maintain during employment in this class a City of Jacksonville Certification as a Public Driver.
Must obtain an Ergonomic Assessment certification from a certified training provider within 6 months of employment in this class.
OTHER REQUIREMENTS:
The probationary period for this class is six months.
Depending upon assignment, this classification performs safety-sensitive functions and is subject to pre-employment, random and other drug/alcohol testing programs as set forth in the City of Jacksonville’s Drug Free Workplace Policy (0401).
