Job Title: Administrative Assistant 1 (AA1) Non-Permanent - expected end date 9/16/26

Location: Long Beach, WA (This position is stationed in Long Beach; however, infrequent travel to other offices is required.)

Closes: 4/3/26

Salary: $3495 - $4653 Monthly.



We're looking for an Administrative Assistant 1 (AA1) to join our clerical team and provide administrative support to Social Service Specialists, supervisors, and community partners.

The incumbent will have the unique opportunity to be part of the local Long Beach office as well as part of a larger team of Administrative Assistants who serve Grays Harbor, Pacific, and Wahkiakum Counties.

The Opportunity:

In this position, you will play a crucial role in maintaining an efficient and healthy office flow.

Your responsibilities will include performing various complex clerical projects, managing office priorities, and covering other positions in the unit.

Also, this role is responsible for legal case management of court documents, orders, and managing deliveries. Confidentiality is always expected in this position.

Some of what you'll do:

  • Answer a multi-line phone system in a fast-paced environment.
  • Greet clients, providers, and staff.
  • Act as liaison between clients and Social Service Specialists.
  • Screen calls and visitors.
  • Timely distribution of communication and documents.
  • Perform complex word processing tasks.
  • Coordinate and assist the Region office’s Social Service Specialists and staff.
  • Maintain vehicle schedules and mileage logs.
  • Performs vehicle fleet management, including driving vehicles for service and cleaning.
  • Keep inventory of office client resources.
  • Prepare files for uploading to the document management system.
  • Uploads court orders, files court documents on-line and in-person as required
  • Maintain filing systems, databases, multiple tracking logs, and computer programs.


What we're looking for (Required Qualifications):

One year of office experience requiring keyboarding or typing.
OR
Equivalent education and experience totaling one year of office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
AND
  1. The ability to take action to learn and grow.
  2. The ability to take action to meet the needs of others.


Preferred/Desired Qualifications:

  • Demonstrated strong knowledge of Microsoft Office, including Word, Excel (multi-level spreadsheet creation experience), and Adobe.
  • Demonstrated knowledge of general office procedures and processes.
  • Previous experience drafting, editing, and sending electronic correspondence.
  • Previous experience editing, proofreading, and drafting memos and other forms of written documents.
  • Previous experience operating vehicles for maintenance/repair transport.

This position requires a minimum of at least two years of driving experience and a valid driver’s license.

Department of Education and the Council for Higher Education Accreditation (CHEA), or a foreign equivalent verified by a NACES-approved organization at naces.org.
