The Opportunity:Within DCYF, this position provides higher-level administrative duties for the purpose of facilitating the Area Administrator's (AA) own work and relieving the AA of day-to-day clerical detail. The AA3 applies knowledge of the supervisor's work commitments, including the status of projects and the nature of contacts. This position has the responsibility of providing administrative and clerical support for the Licensing Division (LD) in Regions 1 and 2. This position assists in various aspects of establishing office systems, protocols, and procedures, as well as ensuring coordination with partner agencies within the building regarding building issues and office needs. This position assists the Foster Care Licensing team by communicating with people inquiring about becoming licensed as general foster parents through a foster parent email. This position enters data into the computer databases and assists others in creating a SAW account and a computer account they can use to get their foster care license. This position supervises one Administrative Assistant 1 (AA1) position.
Some of what you will do:- Coordinates office operations; makes travel arrangements, screens, prioritizes, and distributes mail; screens phone calls and visitors; coordinates meeting dates/facilities; composes and/or keyboards letters, acknowledgements, and notifications.
- Assists in devising unit standards/procedures regarding tasks such as budgeting, purchasing, and compliance with policies for licensing.
- Interprets and applies administrative polices to the work of the unit.
- Maintains FamLink & WA CAP Binti system, updating information for Licensing Division.
- Creates and documents renewals, amended and modified licenses, and provider files to ensure quality of practice and consistency of provider management statewide.
- Counsels staff on procedures and updates in using FamLink and WA CAP Binti.
- Submits background checks and interpreter requests.
- Provides back-up of duties and support to other administrative support staff.
- Processes closed/inactive files for the record retention tracking system for archiving.
- Processes requests for disclosure of records and requests for discovery.
- Monitors expenditures, office space management, equipment purchases, personnel administration, records management, and report preparation.
- Supervises office support staff, interviews and recommends selection of applicants, and conducts training.
- Assigns, schedules, and manages the work of Secretary Seniors.
- Evaluates, recommends disciplines, sets expectations, instructs, coaches, and identifies training needs.
- Performs various higher-level administrative duties and support services for the Area Administrator and Licensing Assessment Supervisors.
- Communicates with the Area Administrator’s staff regarding significant issues, program needs, troubleshoots issues, and fixes or determines outcomes.
- Supports managers and staff in assisting with computer and database functions.
- Responds to complaints, telephone calls, and inquiries.
- Independently creates, designs, and composes correspondence, forms, reports, and templates.
- Disseminates materials and reports to staff.
- Coordinates and maintains unit vehicles; schedules maintenance, drives vehicles to and from service dealership, obtains monthly mileage, manages and maintains checkout calendar for all unit workers.
Required Qualifications: - High school graduation or GED AND Three (3) years of progressively responsible experience in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
OR- Equivalent combination of education and experience totaling three years of office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
AND - The ability to take action to learn and grow.
- The ability to take action to meet the needs of others.

- Demonstrated intermediate/advanced levels of computer literacy, including the ability to perform intermediate/advanced tasks in various computer programs including Microsoft Word, Excel, Outlook, and FamLink database.
- Ability to work cooperatively with diverse populations.
- Must be able to effectively, clearly, and concisely communicate verbally and in writing with management, peers, clients, and the public as required to carry out the assigned duties of the position.
