The Fleet Services Division is on the hunt for a dynamic Administrator to join our Motor Pool Dispatch and Personal Property team.As the Administrator for these programs, you will be at the heart of daily interactions with our organization and external contacts, working closely with colleagues at all levels.

Your primary responsibility will be supporting the Motor Pool Dispatch Service with secondary and back-up responsibilities supporting Personal Property Surplus.

ABOUT FLEET SERVICES DIVISION

The Fleet Services Division manages King County’s portfolio of vehicles and equipment.

The team performs acquisition, maintenance, repair, replacement, and disposal of approximately 3,000 fleet assets for the County’s services associated with the Sheriff’s Office, Public Health, Roads, Parks, Wastewater, Water and Land Resources, and other agencies.

The division manages two maintenance shops which include robust storerooms of automotive parts, materials, and construction supplies as well as several technicians working in the field to support remote customer sites.

In addition, the Fleet Division is responsible for the disposition of the county’s personal property assets, which includes a surplus warehouse in Georgetown.

Disposal methods can include re-use within the county, donation to verified and approved non-profits, and sales through online portals or sealed/negotiated bids.

Requirements

SCOPE OF JOB DUTIES: The successful candidate, at a minimum, will demonstrate skill or ability to:

Motor Pool Dispatch:

  • Resolve technical issues, handle troubleshooting, and provide customer service
  • Process new user accounts, user access, and asset management in the Motor Pool Dispatch reservation system
  • Manage scheduling and transport of vehicles for maintenance and repair
  • Perform daily garage checks on vehicles
  • Maintain cleanliness of vehicles; spot cleaning as necessary, transport vehicles to car washes on a regular cadence.
  • Daily management of multiple email boxes and multiple calendars
  • Develop internal marketing materials, user guides, and pamphlets
  • Deploy routine customer surveys
  • Support Supervisors/Managers in generating vehicle reservation and utilization reports
  • Collaborate with Fleet staff and customers
  • Assist KC Agencies with their pooled vehicles using the Motor Pool Dispatch reservation system

Personal Property Surplus:

  • Support the auction processes for county-wide surplus
  • Create forms, spreadsheets, and perform data entry for auction surplus item submissions
  • Process and upload auction items into King County and/or WA State auction site
  • Provide customer service to King County departments in coordinating surplus item preparation, removal, and disposal
  • Coordinate with Washington State Department of Enterprise Services team in troubleshooting issues, preparing for pickups, and processing auction items
  • Coordinate logistics for auction moves and monitor funds received for auction items
  • Collect Bills of Sale, process Losses of Affidavit for titles, work with Department of Licensing, and send signed titles to Washington State
  • Research cost/value of items to be auctioned and maintain and update spreadsheets
  • Assist with Sealed Bids and the Negotiated Bid processes.
  • Report on all sales and proceeds with appropriate account verification and collaborate with finance teams to account for revenue.

Qualifications

WE ARE LOOKING FOR CANDIDATES WHO:

  • Have a strong background in providing administrative support with responsibilities that have advanced progressively, with the ability to use good judgment in making independent decisions with a high degree of tact and diplomacy; OR any equivalent combination of education and experience that clearly demonstrates the ability to perform all the essential duties of the position.
  • Enjoy working collaboratively in a team environment; willing to pitch in to help other team members.
  • Have good proactive time management skills that allow you to successfully complete tasks on time.
  • Enjoy juggling multiple competing priorities with tight timelines with the ability to prioritize work.
  • Proficient with the Microsoft Office Suite (particularly MS Excel) and are comfortable with the use of office productivity software and relational databases in their daily work.
  • Have experience working in program administration.
  • Have experience working in customer service and data entry.
  • Any relevant or transferrable experience.

WORK LOCATION

This position will be based at the King Street Center with occasional travel to various King County sites to fulfill job responsibilities. This is not a remote/hybrid position.
