Job Description

Summary

This seasonal job involves providing administrative support for a summer food program that helps feed children in Nashville, including tasks like managing records, processing invoices, preparing reports, and assisting with inventory and distribution logistics.

It runs from June to July with standard daytime hours and no benefits.

A good fit would be someone organized, detail-oriented, and comfortable with multitasking in a fast-paced community service environment, ideally with some office experience.

Full Job Description

This is a Seasonal Position with the Metropolitan Action Commission Summer Food Service Program.

This position is under the direct supervision of the Nutrition Services Manager, Community Program Director, and Executive Director.

This position will provide administrative assistance and duties in the Summer Food Service Program.


***This Is A Seasonal Position/Not Eligible for Benefits***

This position will begin June 1st and end July 31st, 2026

Work Hours: Monday - Friday 7:00am - 3:30pm

***Extensive Background Check test is performed on applicants for this position with MAC.***

Requirements

  • Maintain records with the Summer Food Service Program (SFSP)
  • Process customer and account source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the team leaders for resolution.
  • Compile, verify accuracy, and sort information according to priorities to prepare source data for computer entry.
  • Generate reports, store completed work in designated locations and perform backup operations.
  • Maintain records on daily site reports, invoices, and statements.
  • Prepare weekly and monthly reports of meals provided for distribution.
  • Provide invoices for weekly deposit for iProcurement to identify administrator of SFSP, Community Services, or MAC Accounting.
  • Assist with inventory of staples and non-staples.
  • Assist with walk in orders.
  • Assist with distribution route labeling and production.
  • Maintain distribution, order tickets, and truck log sheets.
  • Ensure truck keys are secured at the end of each day.
  • Keep a daily log of each truck’s mileage and fuel gauge.
  • Scan trucks for damage at end of day.
  • Substitute for Summer Food Service Program Coordinator, when necessary.
  • Attend staff meetings, training sessions related to the Summer Food Service Program.
  • Assist in closing down program.
  • Review data for deficiencies or errors, correct any incompatibilities if possible and check output.
  • Apply data program techniques and procedures.
  • Assume other task- related duties, as needed.

Qualifications

Associate’s degree or two (2) years of college from an accredited university or college. Valid Driver License.
