Full Job Description

This position is located in the Executive Office of the President, Office of Administration, Office of the Chief Operations Officer, Mail & Logistics Management Division.

The incumbent will serve as a Logistics Support Specialist responsible for administering management services in the areas of mail distribution, subscription ordering/invoicing; training staff on mail procedures and use of mail equipment; and serve as a lead to manage programs and designated mail rooms.

MINIMUM QUALIFICATION REQUIREMENTS: All applicants must meet the qualification requirements outlined below to be considered minimally qualified for this position.

The qualification requirements are in accordance with the Office of Personnel Management Qualification Standards.

TIME-IN-GRADE REQUIREMENTS: Applicants possess one full year (52 weeks) of specialized experience at or equivalent to the next lower grade level or pay band in Federal service or equivalent experience in the private or public sector.

SPECIALIZED EXPERIENCE: Applicants must have a minimum of one year of specialized experience at a level of difficulty and responsibility comparable to the next lower grade or comparable pay band in the Federal service or equivalent experience in the private sector.

ALL QUALIFICATIONS MUST BE MET BY THE CLOSING DATE OF THIS ANNOUNCEMENT.

You may qualify at the GS-09 level, if you fulfill the following qualification requirements: One full year of specialized experience equivalent to the GS-07 grade level in the Federal service or equivalent experience in the private sector which includes: 1) managing, directing, and overseeing the daily receipt and delivery of mail, classified materials, publications, and critical packages; 2) providing technical guidance to staff on federal laws, policies, and procedural requirements regarding mail room operations; 3) preparing correspondence in response to inquiries, concerns, and requests for data; and 4) procuring supplies, materials, equipment, and support services for customer.

OR A master's or equivalent graduate degree in an accredited or pre-accredited college or university; or 2 full years of progressively higher-level graduate education leading to such a degree; or possession of a LL.B.

or J.D degree, if related. Graduate level education must demonstrate the competencies necessary to do the work of the position. OR A combination of experience and education.

(Combinations of successfully completed education and experience may be used to meet total qualification requirements as specified above.

The total percentages must equal at least 100 percent to qualify.

Only graduate education in excess of the amount required for the next lower grade level may be used to qualify applicants for positions at grades GS-09.) Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social).

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment.

You will receive credit for all qualifying experience, including volunteer experience. Major Duties:

As a Logistics Support Specialist, GS-0301-9, your typical work assignments may include the following under supervision: Serves as a Logistics Support Specialist with responsibility for administering management services in the areas of mail distribution, subscription ordering/invoicing; dispatching vehicles; training staff on mail procedures and use of mail equipment.

Serves as back up COR for programs and systems relevant to MSOD. May be directed to serve as a lead to manage a program or designated mailroom.

Serves as an alternate member' of the Continuity of Operations Evaluate procedures and determine when changes need to be made and independently effect the changes.

Responds to inquiries and administrative concerns/problems. Ensures correspondence, reports, etc. are processed correctly and expeditiously. Receives, sorts and maintains data reports.

Monitors tasking system. Maintains suspense log and/or calendar. Ensures all memorandums are properly formatted prior to submitting to management for signature.

Advises staff and ensures understanding of administrative and procedural requirements. Ensures requirements for' classified material is accurately followed, where applicable.

Serves as point of contact for obtaining support sei vices, supplies and/or equipment. Procures supplies, materials, equipment and other support services in support of EOP customers.

Ensures accuracy of purchase requests as well as proper accounting for expenditures. Provides assistance with protocol and management services.

Responsible for dispatching government vehicles, keeping track of the vehicle mileage, sending reports for record.

Assists in special projects to include resource management preparation; space utilization, facility safety and improvements, and manpower requirements.

Screens calls, greet visitors, referring them to the appropriate staff members and directs to the supervisor those needing his/her personal attention or action.

Receives and reviews applicable incoming correspondence and prepare responses to general inquiries and routine actions.

Responds to routine and now-technical requests for information such as status of reports, suspense date for matters requiring compliance, and similar information readily available from these files.

Responsible for getting key logistical work done and how to obtain a variety of management services essential to the direction and operation of the BOP.

Maintains pertinent office and staff documents ensuring all confidential information remains secure. Maintains office files, tip-to-date listing of the residential roster and email distribution lists.

Logs those items of importance and/or requiring reply, establishes suspense dates when required and follows-up on all actions.
