The Administrative Assistant 3 position provides comprehensive administrative and operational support to the Customer Service, Compliance, and Public Safety Division (CSCPS). Key responsibilities include direct support to the Chief Administrative Officer (CAO) and collaboration with Administrative Operations Managers (AOMs) for both the Northeast and Southwest regions of the state.

This position also serves as a designated back-up for the Recruitment Coordinator and the Elevator Chief, ensuring continuity of operations and consistent service delivery. In this role, the incumbent assists with coordinating administrative processes, managing communications, supporting compliance-related activities, and facilitating efficient workflows across multiple programs and geographic areas.

This role requires a high level of organization, discretion, and adaptability to effectively support leadership and respond to evolving operational needs.

The CSCPS Division’s primary objective is to deliver high-quality customer service, promote and safeguard public safety, and support Washington State’s workforce by administering training, testing, and licensing programs. That is why this position plays a vital role in advancing these objectives by helping ensure administrative efficiency, regulatory compliance, and responsive service to internal and external stakeholders.

For this position, teleworking is full-time but may be required to come to the office on occasion.

For positions where in-office work is necessary, the frequency of telework will be discussed with the supervisor of the position at the time of offer


Requirements

Some of what you’ll do:


  • Serve as liaison between division leadership and division staff, communicating assignments or information, and requesting status and reporting information.
  • Prepare highly sensitive and confidential draft correspondence and reports.
  • Track deadlines, action items, and follow-ups to ensure timely completion of assignments and projects.
  • Prepare agendas, takes meeting notes, and distributes minutes and action items.
  • Prepare necessary materials for meetings and projects.
  • Interact with program leadership to ensure coordination and completion of tasks and projects.
  • Support procurement and administrative processes, including purchase requests, invoices, and expense documentation.
  • Serve as the backup Electronic Security Coordinator (ESC) submitting STARS requests for the division.
  • Serve as the Language Line Administrator for CSCPS and serves as backup to the Language Access point of contact for the CSCPS Administrative Assistant 4’s.
  • Serve as backup having signature authority in the absence of the Administrative Assistant 4’s and 5 on certain matters requiring signatures from the Chief Administrative Officer and the Assistant Director of CSCPS.
  • Assist the Elevator Chief in bills assigned to the program, developing, and maintaining tracking information regarding the progress of the bills and responses.
  • Facilitate Management and Equipment for the Administrative Operations Team.

Qualifications

Required:


High school diploma or equivalent


AND

Three years of clerical, office or administrative experience.


OR


An Associate’s degree in business administration, public administration, or a closely related field may substitute for experience.


AND

One year of experience as an Administrative Assistant 2 or two years as an Administrative Assistant 1.


OR


Equivalent education/experience. Formal education will substitute year-for-year for experience.

Desired:


  • Knowledge of Elevator Program and divisional processes and procedures.
