Job Duties:

  • The CSS Administrative Assistant is responsible for performing various administrative duties related to Human Resources, Procurement, and Facilities Management.

  • Plans, coordinates and performs administrative support for various areas in the CSSD.

  • Coordinates special projects/assignments for CSSD; receives and processes confidential material which requires a high level of discretion.

  • Prepares requisitions for purchases/payments and print requests for various areas in CSSD; serves as liaison for these actions as well; informs Business Manager if problems arise.

  • Responsible for receiving and reporting building issues and complaints to General Services; follows up as needed; reports more complex issues to Business Manager, especially those that are billable.

  • Assists Business Manager with personnel issues for CSSD to include processing personnel actions for various program area in CSSD; in processes new employees for same areas.

  • Accesses NEOGOV system on a regular basis, downloads applications and forwards to appropriate supervisor; closes out requisitions in NEOGOV system once vacancy if filled.

  • Prepares planning stages for employees and give to the appropriate supervisor. Once EPMS is complete, forwards to Human Resources Management Division.

  • Ensures personal identifying information (PII) is properly used, accessed, gathered, shared and disposed of to protect the agency networks and applications by safeguarding systems, equipment, and data.

  • Other related duties as required.

  • Performs Red Cross Shelter duty or other emergency shelter duty/service as directed.

Requirements

A High School Diploma and four (4) years of responsible clerical or administrative experience.

An Associate Degree or a Bachelor's Degree may be substituted for all or part of related work experience.
