We are seeking motivated Clerical Assistant 3s to perform varied clerical tasks and help manage vital events records in the Division of Vital Records.

Requirements

As a Clerical Assistant 3, you will provide in-person advice to consumers regarding issues related to vital event records, certificates, and permits.

You will provide immediate and accurate guidance about appropriate documentation necessary to apply for certificates of vital events, amend birth and death records, access paternity records and adoption records, and grant fee waivers.

You will also enter applications into the vital statistics system, review the accuracy and completeness of information, and determine eligibility.

This role requires knowledge of the Vital Statistics Law of 1953, Title 28 regulations, and select domestic relations statutes to recognize nuances of specific situations and provide immediate and accurate guidance.

In addition, you will maintain a high degree of confidentiality and discretion to ensure information is released to appropriate parties, follow record retention schedules, complete daily production reports, and process payments.

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

Qualifications

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

  • You must be able to perform essential job functions.
