Requirements

As a Clerical Assistant 3, you will provide comprehensive clerical and administrative support to the Building Division, including receiving, logging, and processing building plan submissions through mail, online systems, and in-person drop-offs.

You will be responsible for maintaining organized records and tracking systems, preparing reports, and ensuring accurate distribution of incoming and outgoing correspondence.

Work involves serving as the primary point of contact for customers by phone and email, assisting with incomplete submissions, general inquiries, forms, and fees.

You will also have the opportunity to provide guidance to staff, supporting special projects and mailings, ensuring efficient daily operations through strong organization, communication, and problem-solving skills.

Additional responsibilities include:

  • Assisting with scanning, data entry, compliance reporting, and database maintenance related to regulatory programs
  • Maintaining working knowledge of applicable codes and procedures
  • Completing detailed file research and records management across multiple systems
  • Fulfilling public information requests
  • Handling financial processing tasks

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

Qualifications

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.
