Metro’s Capital Division has an exciting opportunity for a self-motivated, well-organized individual with good judgment, an eye for accuracy, and professional integrity to provide strong administrative support. As an Administrator I, you will execute complex and critical administrative support to the section manager of the Capital Delivery Section.
In this role, you will organize meetings, manage calendars, and coordinate project deadlines to support effective operations. Acting as a liaison, you will facilitate communication, manage various administrative processes, and oversee administrative tasks. Additionally, you will arrange travel, oversee supplies, and provide guidance to staff while maintaining confidentiality and professionalism.

Recruitment Information:This recruitment is intended to fill one (1) Special Duty Assignment (SDA), anticipated to last approximately 6 months. The actual duration may vary based on the discretion of the supervisor.
Additionally, this selection process may be used to establish an eligibility pool for future Career Service, Special Duty Assignment, or term-limited temporary vacancies within this classification in the Capital Division.
The eligibility pool will remain active for 12 months from the posting date and may be extended or utilized at the hiring authority's discretion.

Requirements

As the Administrator I, you will:
- Schedule and organize various meetings and events for the manager and staff, and maintain the section manager's calendar
- Monitor project deadlines and meetings, coordinate with internal and external stakeholders, and compile relevant documentation to ensure the manager's preparedness
- Prepare necessary meeting agendas, notes, minutes, and equipment, as well as prepare and revise communication on behalf of and in support of the section manager or section
- Act as the delegated authority to independently manage daily administrative support duties on behalf of the section manager
- Provide complex and critical administrative support, serving as the primary administrative support to the section manager
- Uphold confidentiality by adhering to policies and procedures, earning the trust and respect of colleagues through honesty, integrity, and professionalism
- Act as a liaison between the section manager and internal and external groups or individuals
- Prepare, review, and track forms required for personnel transactions, grievances, requisition forms, purchase orders, reports, and expense reports
- Support the development of processes to support various administrative programs or projects, such as invoices, correspondence, signature routing, onboarding, offboarding, records retention, and travel and training arrangements
- Oversee payroll and accounts payable operations, including budget charge coding and tracking by project, and budget charge reconciliation for multiple projects in Oracle
- Manage supplies inventory, including ordering supplies, maintaining office equipment, and coordinating with contractors for repairs or replacement as needed
- Provide support and direction to administrative staff within the section
- Offer guidance on human resources principles and direct employees to the appropriate resources and personnel as necessary
- Support the return-to-office initiative, as part of a broader administrative team
- Undertake other special projects and related duties as assigned
Qualifications
We'd love to hear from people with:- Minimum of three years of experience in providing administrative support and performing complex administrative tasks in a professional setting; OR
- Any equivalent combination of experience and education which provides the applicant with the desired skills, knowledge, and ability required to perform the work
Other Qualifications: - Knowledge of human resources principles
- Experience processing payroll
- Capable of working independently and making decisions with sound judgment, tact, and diplomacy
- Demonstrated ability to work with diverse customer groups in person, via telephone, and email while maintaining appropriate confidentiality
- Committed to supporting and strengthening team cohesion and coordination
- Proven ability to coordinate a high volume of diverse assignments and competing priorities in a sometimes-ambiguous work environment, while maintaining attention to detail
- Clear and effective communicator, both verbally and in writing
- Capable of multitasking amidst frequent interruptions and working under tight or shifting deadlines
- Expertise in leveraging technology tools, including intermediate-level skills in Microsoft Excel, Outlook, PowerPoint, Visio, Word, Adobe, DocuSign, Teams, Zoom and SharePoint
- Experience in coordinating and supporting virtual and in-person meeting environments.
Highly competitive candidates will have: - Experience with PeopleSoft or other similar payroll and time-keeping software
- Experience with Oracle or other similar financial software
- Knowledge of Metro Transit policies & procedures
- Experience with Concur Travel Software or other similar software
- Experience with document filling and management systems
- Understanding of union contracts and labor tracking systems

Work Schedule:
Our regular business hours are 40 hours per week, Monday through Friday. However, work outside of these hours may occasionally be required. This position is classified as non-exempt under the Fair Labor Standards Act, and therefore, is eligible for overtime pay.
Work Location:
The Capital Division works in a hybrid model, with days in the office as well as telecommuting.
Beginning mid-April, the in-office requirement is 2 days a week and come May, it is anticipated to increase to a mandatory 3 days a week. The primary onsite location is King Street Center, 201 S.
Jackson St, Seattle WA 98104.
Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
