Job Description

Summary

This job is about being the main assistant to the commander of a fighter wing in the Air Force, handling paperwork, scheduling, and other office tasks to keep things running smoothly.

It involves preparing reports, managing correspondence, and supporting the leadership team with administrative needs.

A good fit would be someone organized, detail-oriented, and comfortable with confidential military office work, ideally with prior government or administrative experience.

The primary purpose of this position is to serve as the principal executive assistant, performing various administrative and clerical duties in support of the Wing Commander and command staff of the 944th Fighter Wing.

Performs office automation duties such as word processing in support of the administrative and clerical work.

In order to qualify, you must meet the Specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, Clerical and Administrative Support Positions.

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-07, or equivalent in other pay systems.

Examples of specialized experience includes knowledge of policies, procedures, methods and regulations of protocol and interpersonal relations practice.

Aswell as detailed knowledge of administration procedures and the ability to interpret and apply moderately complex directives and instructions.

Also, knowledge of multi-service, higher headquarters, and command-level military and civilian personnel policies and procedures.

FEDERAL TIME-IN-GRADE (TIG) REQUIREMENT FOR GENERAL SCHEDULE (GS) POSITIONS: Merit promotion applicants must meet applicable time-in-grade requirements to be considered eligible.

One year at the GS-07 level is required to meet the time-in-grade requirements for the GS-08 level. TIG applies if you are in a current GS position or held a GS position within the previous 52 weeks.

NOTE: Applicants applying as VEOA candidates who are current GS civil service employees or are prior GS civil service employees within the past 52 weeks must also meet time-in-grade requirements.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: Knowledge of analytical and evaluative methods and techniques to identify and resolve procedural issues and problems related to program area of responsibility.

Knowledge of protocol regulations procedures and instructions that apply to military and civilian leaders.

Knowledge of management principals, and techniques of analysis and evaluation, analyzes and recommends solutions to problems in staffing and administrative procedures.

Knowledge of computer systems such as UTAPS, ATAAPs, ARROWS-R and DTS. Ability to deal with very sensitive issues and handle them with discretion.

Ability to communicate effectively, both orally and in writing and effectively plan, organize, and coordinate office administration workloads and to meet suspense deadlines.

Ability to apply security, travel, budget and supply regulations, procedures and practices to the requirements of the office.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work.

You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social).

Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.

You will receive credit for all qualifying experience, including volunteer experience. Major Duties:

Serves as Primary Administrative Support Specialist for the 944th Fighter Wing Commander.

Prepares a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources.

Reviews and processes incoming and outgoing correspondence, reports, and other materials submitted for the Commander's signature.

Maintains calendars for Command Staff, coordinates meeting arrangements, and schedules meetings and/or conferences.

Performs other clerical and administrative work in support of the office/organization. Prepares time and attendance records.

Uses both manual and automated systems to record, track, and report hours of work and leave for the Commander and his immediate staff.
