Full Job Description

The position is assigned as an Administrative Support Assistant (ASA) at the Veterans Health Care System of the Ozarks (VHSO), within the Executive Office under the Associate Director, Patient Care Services (ADPCS), and is responsible for coordinating administrative activities in support the ADPCS reporting service lines.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/20/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service.

An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.

In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include, but are not limited to: Experience with record management, utilizing a computer and efficient administrative office functions.

Experience with Executive correspondence formatting and processes to include committee operations and coordination. Experience with outcome measures tracking and maintenance of clinical data.

Experience with facility programs and Executive Office programs and associated regulations. Experience with time-keeping processes/procedures and acquisition/procurement processes.

Knowledge of executive correspondence formatting and processes to include committee operations and coordination.

Possess effective communication, computer, and organizational skills to support efficient administrative office functions.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work.

However, there maybe some walking, standing, bending, carrying of light items such as paper, books, laptop, etc. No special physical demands are required to perform the work.

Occasional travel and or training may require attendance at a location other than office workstation.

Major Duties:

Duties include but are not limited to: Responsible for organizing and maintaining efficient office operations and assisting the Associate Director, Patient Care Services (ADPCS) with the management and functionality of the ADPCS scope including human resources, collaboration and scheduling of facilities, space, workload, and public relations for the office.

Reviews all work coming into the office, determines the items which require action, establishes time frames for accomplishment and makes a tentative staff assignment.

Performs a variety of administrative support duties, such as making travel arrangements, making arrangements for meetings and conferences, hearings, composing/editing executive correspondence, locating, and assembling information for various reports, briefings, conferences, etc.

Assists with preparing calendar and associated meeting documents for the day and composing handouts and training materials.

Uses office automation equipment and software with functions to produce a wide range of documents, format, etc.

Complies with all the acquisition regulations, both Federal, VA, and local as the purchase card holder. Work Schedule: Monday - Friday 0730am-0400pm or 0800am-0430pm based on the needs of the facility.
