Full Job Description

The City of Seattle’s Human Services Department (HSD) supports vulnerable residents by funding and operating programs for low-income families, children, survivors of domestic violence, people experiencing homelessness, older adults, and people with disabilities. The Aging and Disability Services (ADS) Division is seeking an Administrative Specialist I to provide routine administrative and clerical support for the ADS South King County office. This position helps keep office operations running smoothly by performing data entry, basic recordkeeping, front-desk and phone coverage, and equipment and fleet support using established procedures. Based in the ADS South King County office, this role reports to the Administrative Support Supervisor and supports operations for both the Seattle and Renton locations, which provide services throughout King County. The position collaborates closely with ADS Case Management units, Seattle subcontractor offices, and ADS planning teams.

Requirements

  • Follow all City and Department policies, rules, and workplace expectations.
  • Provide courteous, professional customer service to staff, clients, and visitors in person, by phone, and by email.
  • Complete assigned tasks within established timelines to support required program and division reports.
  • Enter data and maintain basic tracking documents, logs, and forms in Excel, Word, and other standard software using existing templates.
  • Assist with accounts payable processing by matching invoices to documentation, coding expenses using direction from lead staff, and routing items for approval.
  • Maintain organized electronic and paper files for contracts, client documents, and program records according to division standards.
  • Assist with equipment and supply tracking, including monitoring inventories, submitting replenishment requests, and helping coordinate printer and small-equipment maintenance.
  • Enter and update information in division databases such CMC, and GetCare following established data-entry procedures and privacy requirements.
  • Review information for completeness and accuracy, flag discrepancies, and elevate issues to the supervisor or lead for follow-up.
  • Assist with copying, scanning, mailing, scheduling meetings, and preparing standard meeting materials or sign-in sheets.

Qualifications

Required Qualifications:
Requires one year of clerical support experience (or a combination of education, training and/or experience which provides evidence of the ability to perform work of the class).

Desired Qualifications:

  • Proficiency in Microsoft Office Suite, with a strong emphasis on Excel (including the ability to create and utilize formulas for data reporting and tracking).
  • Experience using other software programs for data management and reporting.
  • Basic understanding of office equipment (printers, scanners, fax machines).
  • Experience maintaining accurate records and creating basic tracking documents or forms.
  • Ability to work effectively both independently and as part of a team.
  • Commitment to providing quality customer service to colleagues, guests, and clients.

The hourly rate for this role is: $33.08-$38.25 and hour.

This job is required to be in the office three days a week. At first, during training, you may be required to be in the office five days a week.
