This job is for an Administrative Secretary in West Virginia's public health office focused on maternal, child, and family health, where you'll handle high-level support tasks like improving office procedures, preparing reports, and managing budgets to help the team run smoothly.
It's ideal for someone organized and proactive who enjoys analyzing operations and recommending changes, rather than just doing routine paperwork.
You'll work closely with directors and need to keep sensitive information private while communicating well with everyone involved.
Under general direction, the Administrative Secretary performs advanced-level paraprofessional work by assuming responsibility for adjunctive administrative duties to support the operations for a large Office within the Bureau for Public Health (Office of Maternal, Child and Family Health/OMCFH).The role requires applying an in-depth knowledge of the Office's mission and local, state, and federal policies to modify and improve global unit procedures, rules, and regulations.
In this capacity, the individual takes the initiative to recommend strategic actions that enhance the efficiency of the Office as a whole.
This position reports directly to the Office Director and will support the Deputy Office Director and Division Directors as applicable and needed.
The position involves studying and analyzing broad operational procedures to prepare comprehensive reports of findings and recommendations for the implementation of new, Office-wide procedures.
To support large-scale coordination, the Secretary retrieves and compiles information from multiple sources, manages complex operating reports (including budget expenditures and data inquiries), and leads the planning of administrative/clerical employees' work within the Office to establish standard operating procedures.
Administrative support duties are predominant; clerical tasks are strictly limited to less than 20% of the work time to maintain a focus on high-level jurisdictional support.
This position requires effective communication with superiors, subordinates, and the general public while maintaining highly confidential records essential to the Office's operations.
