Under general direction, the Administrative Secretary performs advanced-level paraprofessional work by assuming responsibility for adjunctive administrative duties to support the operations for a large Office within the Bureau for Public Health (Office of Maternal, Child and Family Health/OMCFH).The role requires applying an in-depth knowledge of the Office's mission and local, state, and federal policies to modify and improve global unit procedures, rules, and regulations.

In this capacity, the individual takes the initiative to recommend strategic actions that enhance the efficiency of the Office as a whole.

This position reports directly to the Office Director and will support the Deputy Office Director and Division Directors as applicable and needed.

The position involves studying and analyzing broad operational procedures to prepare comprehensive reports of findings and recommendations for the implementation of new, Office-wide procedures.

To support large-scale coordination, the Secretary retrieves and compiles information from multiple sources, manages complex operating reports (including budget expenditures and data inquiries), and leads the planning of administrative/clerical employees' work within the Office to establish standard operating procedures.

Administrative support duties are predominant; clerical tasks are strictly limited to less than 20% of the work time to maintain a focus on high-level jurisdictional support.

This position requires effective communication with superiors, subordinates, and the general public while maintaining highly confidential records essential to the Office's operations.

Qualifications

TRAINING: Graduation from a standard four-year high school or the equivalent.

EXPERIENCE: Six years of full-time or equivalent part-time paid experience in secretarial work, two years must have included administrative support or complex clerical duties.
SUBSTITUTION: Successful full-time study in an accredited college or university, or resident business or vocational school training may be substituted through an established formula for the required experience.
