Job Description

Summary

This temporary job supports the Board of Pharmacy by handling paperwork for licenses, answering questions from applicants, and managing renewals and other administrative tasks.

It's ideal for someone organized and detail-oriented who enjoys helping people navigate processes and working in a government office setting.

A good fit would be an experienced administrative professional comfortable with computers and customer interactions.

Key Requirements

  • High school diploma with relevant work experience (bachelor’s degree may substitute for experience)
  • Four years of related experience preferred
  • Strong customer service and communication skills (oral and written)
  • Proficiency in office equipment, computers, and Microsoft software
  • Ability to interpret laws, regulations, policies, and procedures with judgment and discretion
  • Active listening and professionalism in interactions with customers
  • Capability to follow routine and complex instructions, including data entry and filing

Responsibilities

  • You will provide administrative support services for the Board of Pharmacy.
  • You will process initial applications (via paper and online) utilizing applicable criteria, databases, and software.
  • You will review and evaluate documents and ensure all necessary requirements for licensure are completed.
  • You will respond to customer inquiries received by telephone, fax, e-mails, and other methods (including walk-ins) providing timely and accurate responses for the application and licensing processes.
  • You will assist with planning and coordinating annual license renewals and reinstatements of permitted facilities and assist with processing various forms and notices.
You will perform a variety of other functions including assisting with communications, orders, and performing research regarding compliance issues.

Requirements

Minimum Qualifications

  • A high school diploma and work experience that is directly related to the area of employment. A bachelor’s degree may be substituted for the related work experience.

Preferred Qualifications

  • A high school diploma and four (4) years of experience that is directly related to the area of employment.
  • Knowledge of principles and practices of office management and general administrative functions.
  • Active listening skills.
  • Ability to communicate effectively both orally and in writing.
  • Strong customer service skills.
  • Ability to exercise judgment and discretion in interpreting and applying relevant laws, regulations, policies and procedures.
  • Ability to follow both routine and complex instructions.
  • Considerable skill in the use of office equipment, computers, and software and systems (i.e., Microsoft).
  • Ability to exhibit professionalism and courtesy to internal and external customers.

Other Requirements

  • Position works in an office environment with extended periods of sitting and standing.
  • May require occasional work outside of normal office hours.
  • May be required to lift, carry, move and/or position objects weighing up to 25 lbs.
  • Daily filing, data entry, telephone and computer use.
