Job Purpose:

The South Carolina Department of Education is seeking a proactive and detail-oriented Administrative Assistant to provide critical support to the Office of Leadership Effectiveness Director and team.

This role will oversee essential administrative functions, manage complex scheduling and correspondence, and coordinate key operational tasks such as logistics, correspondence assignment, purchasing, and reporting.

The ideal candidate will work to ensure smooth day-to-day operations of our policy-driven office environment to support critical initiatives.


Responsibilities:
  • Manage and oversee complex office operations, including schedules, logistics, and purchasing, ensuring compliance with policies and maintaining accurate records that directly support executive leadership.
  • Prepare, proofread, and edit professional correspondence, reports, policy summaries, briefing materials, and presentations on behalf of the Director of Leadership Effectiveness and staff.
  • Oversee the assignment and tracking of incoming correspondence ensuring timely responses and follow-up. Maintain clear communication channels with internal teams and external partners while safeguarding confidentiality.
  • Actively monitor appointment calendars, travel arrangements, travel authorizations, and travel reimbursements.
  • Develop and revise electronic forms to support communication within the office and with school districts.
  • Manage Office of Leadership Effectiveness web pages, to include refining and uploading 504 compliant contents.
  • Use various budgetary and operational management platforms to prepare, route, and reconcile purchase orders and invoices for all supplies and materials, ensuring timely and accurate processing.

This position is located in the Office of Leadership Effectiveness.

Requirements

A high school diploma and work experience that is directly related to the area of employment. A bachelor's degree may be substituted for the related work experience.

Qualifications

  • An associate’s degree in paralegal science, secretarial science or other related field; or a high school diploma and five (5) years of clerical or administrative experience.
  • Possession of strong communication and writing skills for drafting and editing correspondence, reports, and other materials in support of delivering on Agency strategic goals.
  • Familiarity with Microsoft Office, correspondence tracking systems, web-based platforms and other digital project management tools.
  • Ability to address complex administrative issues and implement solutions, managing multiple priorities and tracking detailed information accurately.
  • Desire to innovate and create cutting edge solutions which make a significant impact in an empowering work environment.
  • Willingness to work well with people to convey knowledge and build positive working relationships, including team members, executives, and partners.
