Full Job Description

The Administrative Assistant is assigned to one or more of the following Medical, Surgical, Intensive Care or Ambulatory Surgery, OR, ED or Nursing Administration units in the facility, located at the Albuquerque, New Mexico, VA Medical Center.

The incumbent serves as an Administrative Assistant, overseeing administrative functions for personnel; control and requisition of supplies, work orders, timecards and pay related matters and project flow.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/16/2026.

You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include, but are not limited to: utilizing automated software to enter and maintain data; organizing and maintaining files and records; screening phone calls to determine the nature and referring to appropriate staff; and providing administrative support to daily operations.

OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years above high school.

OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond.

Major Duties:

Responsible for assisting in the directing and coordinating all administrative aspects of the patient care unit, centralized staffing and scheduling to include establishing and maintaining the automated National Mapping System and database to enable tracking, trending and allocation of available resources .Duties include but are not limited to: Maintains patient confidentiality with respect to the privacy act.

Serves as the first line of communication for veterans and visitors, providing information and assistance. Maintains a clean, safe, and orderly work area.

Closely communicates with nurses, doctors, and House Supervisor/Nurse Officer on Duty (NOD). Responds to routine inquiries.

Compiles data reports routine and as needed (i.e., Daily Census, DSS Mapping, Leave Usage, etc.,) Utilizes designated information systems to perform data pulls-sorting and evaluating pertinent clinical outcomes data.

Maintains information tracking systems to establish and review initiatives, requirements, timelines, and status.

Manages written and electronic flow of information Coordinates with management to ensure availability of personnel for the consistent delivery of high quality and safe support to the unit.

Organizes, prioritizes, and initiates problem solving techniques in daily work activities. Work Schedule: Shifts vary by Unit Virtual: This is not a virtual position.
