Full Job Description

Are you ready to take your administrative career to the next level? The Real Estate and Vehicle Licensing Division of the Bureau of Professional and Occupational Affairs is searching for a motivated Administrative Assistant 2. This position gives you the opportunity to utilize your communication skill set as you serve as the liaison between board members, board counsels, prosecuting attorneys, licensees, the public, bureau staff, and other governmental agencies. Requirements

As an Administrative Assistant 2, you will serve as the primary resource for board-related information regarding board laws, regulations, and policies for the general public and other staff.

Work involves participating in the development of the regulations through recommendations to the board and board counsel to assist in the effective administration of the laws and regulations, as well as establishing licensure eligibility review criteria based on the laws and regulations for processing by technical support staff.

You will be responsible for coordinating board meetings, preparing agendas, reviewing and editing all official minutes, and completing post meeting follow-up activities.

You will also have the opportunity to attend and testify at formal hearings on board-related matters as the official custodian of the records and provide licensure record information to legal staff.

Additional responsibilities include:

  • Analyzing administrative operations and making recommendations for improvements to existing procedures
  • Providing training in administrative operations and procedures to technical support staff
  • Providing statistical information and technical data to the Budget and Financial Management Office for the development of fees for the licensing board
  • Coordinating and reviewing board member reimbursement documentation, including advance travel approvals, travel expense vouchers, per diem requests, and other related forms

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:30 AM to 5:00 PM, Monday - Friday, with a 60-minute lunch. Work schedule may be negotiable.
  • Telework: You may have the opportunity to work from home (telework) part-time (up to 50%), upon successful completion of the probationary period.

    In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania.

    If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg. The ability to telework is subject to change at any time.

Qualifications

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year of experience as a staff assistant to an administrative officer or as a technician in a staff service of a large organization; and such training as may have been gained through graduation from a four year college or university; or
  • Any equivalent combination of experience and training.
