This job is for an administrative assistant in the South Carolina State Guard, where you'll handle paperwork for military orders, manage files and mail, coordinate awards and certificates, and maintain member databases.

Full Job Description

Provides technical assistance and ensures compliance with all regulations related to military permanent orders. Maintains and updates files for categories of orders, actions and decisions of the Commander of the State Guard and State Guard staff. Performs administrative command support functions, prepares and processes all mail (distribution, outgoing and incoming) to include maintaining a log system for all correspondence and acts with full authority of the State Guard Administrative Coordinator. Coordinates the Awards and Decorations program with the State Guard G-1 (Personnel), to include maintaining supplies and preparation of certificates and orders to accompany ribbons, medals and decorations. Prepares discharges, retirement and service certificates for authorized members. Handles all special requests and queries with tact and professionalism. Responds to telephone callers and walk-in members/customers with courtesy and tact. Reviews and recommends changes to policies and regulations, and coordinates the reproduction of documents, manuals, SOPs and other required items. Maintains database for membership rosters of the South Carolina State Guard. Supports the State Guard with special projects and other administrative functions as required.

Requirements

A high school diploma and work experience related to administrative services. A bachelor’s degree may be substituted for related work experience.

Qualifications

Proficient (minimum 1 year) knowledge and experience working in South Carolina Enterprise Information System (SCEIS). Working knowledge of Microsoft Office Suite specifically Outlook, Excel and Word.
