Job Duties:The County Administrative Assistant I plans, coordinates and/or performs complex administrative or business management activities of a state agency or major component of a state agency.
Coordinates business/financial management activities, and supervises personnel and their activities such as fiscal management, unit personnel management, Human Resource, procurement, program support and data control.
Responsible for coordinating the preparation, maintenance and execution of all fiscal records & operations, develops budget requests & monitors compliance with approved budgets for county office.
Monitors fiscal personnel responsible for the following activities: (a) Equipment procurement, maintenance & distribution. (b) Financial record keeping for the agency’s Financial Management Unit.
(c) Ensures SNAP data management activities as prescribed by policy. (d) Maintenance of data management of SNAP & AFDC recoupment.
(e) Compiling & preparing requisitions for supplies, stocks, disburses, and maintains appropriate inventory control for county office.
- Maintain agency equipment by troubleshooting problems and arranging for repair/maintenance as needed. Keep up to date detail inventory list of office supplies.
- Supervise & coordinate all procurement activities; assists in the development of specification for non-routine purchases; acts as liaison with central purchasing.
- Conduct monthly bank reconciliation for local county office as required by agency policy.
- Backup for state vehicles which includes schedules vehicle maintenance per state fleet policy; keying in logs and providing reports to State office.
- Create and distribute checks for general and client accounts: review vouchers for completeness and ensure supporting documentation accompanies vouchers; create and verify accuracy of checks and then distribute accordingly.
- To ensure that personal identifying information (PII) is properly used, accessed, gathered, shared and disposed. To protect the agency networks and applications by safeguarding systems, equipment and data.
- Perform Emergency Welfare Services to include American Red Cross Sheltering and Disaster SNAP services; performs other related duties as required.
- Perform job delivery and/or performance with positive or appropriate customer service delivery to clients, the public and co-workers as an integral requirement.
Requirements
A High School Diploma and work experience that is directly related to the area of employment.
A Bachelor's Degree may be substituted for the related work experience.
