Position Title: Workforce Systems Coordinator

Department: Governor’s Office of Operations and Cabinet Affairs

FLSA Status: Exempt

Term Limited: The position is funded through June 2027

Organizational Relationships: The Workforce Systems Coordinator reports to the Lead for Workforce Systems Coordination. This position supports the Office of Operations and Cabinet Affairs and the Senior Policy Advisor on Workforce within the Governor’s Office.

Expected Annual Travel: Occasional in-state travel.

Summary of Functions: The Workforce Systems Coordinator supports the Workforce Systems Coordination Team to ensure seamless coordination of team deliverables and administrative functions.

This position assists with coordinating team-wide workflows and project management, including implementing and maintaining team processes and timelines.

The Workforce Systems Coordinator also serves as a liaison between internal and external stakeholders and plays a critical role in maintaining timely and ongoing communication between the Workforce Systems team and state agencies.

This position serves as the administrative lead for the Workforce Systems Coordination Team and plays an active role in day-to-day meetings and operations.

This includes coordinating meetings and events, gathering briefing materials, and providing quality control for information and task gathering.

This role will attend meetings alongside members of the Workforce Systems Coordination Team to capture notes, track action items, and ensure completion of next steps.

Additionally, this role will lead special projects, as assigned, and be provided opportunities to apply their skills in support of team objectives.

The ideal candidate should be detail-oriented, highly organized, proactive, collaborative, and an innovative thinker.

Candidates should also be able to demonstrate strong critical thinking, pattern recognition, and analytical skills, and the ability to adapt quickly and operate nimbly in a fast-paced work environment.


Duties and Responsibilities:


Internal Operations

  • Serves as a liaison between the Governor’s Office, state agencies and external parties. This includes fielding inquiries and facilitating ongoing communication across multiple organizations, triaging information as needed.

  • Supports Workforce Systems Coordination Team leadership with workstream tracking to ensure shared awareness of key deliverables, priorities, and timelines, and help manage staff workloads. Develops and maintains systems of effective project and process management.

  • Creates and ensures timely delivery of relevant briefing materials for the Governor, the Director of Operations and Cabinet Affairs, and other members of Governor’s Office leadership.

  • Coordinates and attends all Workforce Systems Coordination Team meetings, as well as specific meetings alongside members of the Workforce Systems Coordination Team to distribute agendas, capture notes and action items, and help ensure completion of next steps.

  • Ensures all public-facing information is current, accurate, and meets Colorado’s accessibility requirements.

  • Serves as team lead for all event planning, logistics, and coordination. Events include staff retreats, roundtable discussions, site visits, employee appreciation, and other special events.

  • Provides day-to-day technical support for hybrid and virtual meetings (e.g. Zoom, Webex, and Google Meets), ensuring smooth setup, troubleshooting issues, and managing technical logistics. This entails coordination with the Governor’s Office IT Manager to elevate critical IT requests.

Administrative

  • Provides scheduling assistance for the Workforce Systems Coordination Team as needed.

  • Facilitates approval processes and triages approval requests across the organization.

  • Oversees document management for the Workforce Systems Coordination Team.

  • Maintains and regularly updates relevant organization charts, listservs, and contact sheets.

Project Support

  • Assists with specific research and analysis assignments as directed by the Lead for Workforce Systems Coordination.

  • Leads and coordinates special projects as directed by Lead for Workforce Systems Coordination.

  • Contributes to strategy and planning work, meetings, and other activities such as process improvement and professional development.

  • Other duties as assigned.


Essential Skills:

This position requires a self-starter with strong problem-solving, critical thinking, and pattern recognition skills who can operate independently and nimbly in a dynamic and fast-paced environment. Candidates should also demonstrate personal integrity, confidence, and diplomacy.

  • High level of professionalism in all written and oral communications. A strong understanding of executive-level communication is preferred.

  • Exceptional time management, organizational skills, and attention to detail.

  • Proficiency in Google Apps and Microsoft Suite is essential. Experience with Salesforce is preferred, but not required.

  • Strong relationship-building skills and ability to collaborate effectively.

  • Excellent project management and coordination skills, including the ability to create and maintain project and action item trackers.

  • Basic data management and analysis skills are preferred, but not required.

  • Ability to work with high levels of confidentiality and discretion.

Qualifications

Minimum Education/Experience: At least five (5) years of relevant experience. This may be exclusively work experience OR a combination of higher education, training, and work experience.

  • Five (5) years of professional experience in a related field

OR

  • A bachelor's degree and one (1) year of relevant work experience

OR

  • An associate degree and three (3) years of relevant work experience


Preferred Qualifications:

  • A degree in political science, administrative social work, public policy, business administration, organizational effectiveness, or another related field.

  • Previous experience in government or business administration, project management, process improvement, data analytics, customer service, or another related field.


Conditions of employment:
