Full Job Description

The King County Department of Adult and Juvenile Detention is seeking two (2) technically savvy, highly motivated individuals to occupy the position of Volunteer Coordinator to support our resident educational programming activities.

We are looking for detail-oriented, customer-focused, flexible, and self-motivated individuals to support our educational programming. Our ideal candidates will have exceptional communication and customer service skills; enjoy working collaboratively in a team environment; and are willing to pitch in to help other team members and contribute to positive team morale. They are able to organize multiple tasks, manage their time efficiently, and able to juggle multiple, competing demands.

These positions are responsible for a wide variety of administrative and technical duties including compiling class rosters, maintaining room schedules and calendars, and supporting programming service providers. They will assist in creating and maintaining records databases. They will also maintain the program’s technology assets and will assist in troubleshooting problems with hardware, software, and peripherals.

This program furthers the DAJD’s shared mission by reducing recidivism and promoting reentry success and wellbeing among individuals returning from incarceration. The programs are focused on strengthening educational outcomes for individuals returning from incarceration. DAJD is committed to equitably supporting the continued growth and development of incarcerated persons.

Requirements

  • Facilitate remote and in-person attendance to classes taught by contracted instructors.
  • Operate audio/visual class equipment following training from the vendor.
  • Support students in daily use of educational tablet hardware and software. Communicating and coordinating with vendors, users, and other IT staff as needed for additional technical support.
  • Act as facilitator to provide one-on-one, short discussions with a small number of students working through Cognitive Behavioral Therapy (CBT) journaling workbooks.
  • Use Microsoft Office Suite to document program activities. Use a local software system, Jail Management System (JMS). Use of the two systems includes input, search, and retrieval of data and records.
  • Maintain and control access to a library of class reference materials.
  • Ensure physical security for inventory of tablets, smart TV’s, video equipment, and laptops during use.
  • Communicate need to order equipment, training materials and other training-related items, and general office supplies to support the programming needs.
  • Process paperwork and register students for classes.

    Review resident requests to identify interested students, screen for eligibility, enroll students, compile class rosters, track attendance, support creation of educational content, maintain all course paperwork, and schedule and reserve use of rooms.

  • Assist in new student orientation.
  • Maintain order and standards of behavior while in the classroom and report safety and security concerns to security staff.
  • Collaborate with stakeholders to improve or recommend appropriate changes to processes, services, and products.
  • Maintain security and confidentiality of sensitive communications and information in all forms (written, verbal, and electronic) and of all related documents including files and records.
  • Identify and report education program issues; troubleshoot problems with hardware, software, and peripherals; and report technical problems to the vendor manager.
  • Attend/participate in DAJD and multi-disciplinary team meetings to provide information on program performance and needs.
  • Other duties as assigned within the scope of the classification.

Qualifications

MINIMUM QUALIFICATIONS:
  • A minimum of three (3) years of work experience that includes clerical tasks (e.g., data entry, preparing documents, responding to emails, and ordering supplies).
  • High school diploma or G.E.D.
  • Valid Washington State Driver's License or the ability to travel around the county in a timely manner.
  • Intermediate level of skills utilizing MS Office Suite, including Word, Excel, and Outlook.
  • Skill in providing consistent, accurate, friendly, and professional technical support to non-technical customers.
  • Experience in creating technical documentation.
  • Strong customer service skills in person, via email, and telephone.
  • Demonstrated ability to maintain regular, reliable, and timely attendance.
  • Demonstrated ability to work successfully both independently and as part of a team; must be able to work effectively with managers in a hierarchical (chain-of-command) environment with willingness to appropriately escalate problems as they arise.
  • Exceptional organizational skills including planning/prioritizing; ability to multitask; and analytical, problem-solving, and time management skills.
  • Detail-oriented with great attention to quality and accuracy.
  • Experience exercising good judgment; ability to recognize sensitive or confidential matters and maintain confidentiality at all times; and ability to use tact and discretion in difficult communications.
  • Ability to exercise independent judgement in making decisions where guidelines are unclear or do not cover unique situations.
  • Experience with capturing qualitative and quantitative performance measurements for data collection and data reporting as it relates to the impacts and effectiveness of programs.
THE MOST COMPETITIVE CANDIDATES WILL POSSESS:
  • Five (5) or more years of full-time administrative experience in a related field such as criminal justice/corrections, education, training, or social services.
  • Prior experience with remote conference classroom or conference event operations is highly desired.

DESIRED: This position may be eligible for additional bilingual premium pay above the base salary.

Desired languages currently include Spanish, Chinese, Vietnamese, Russian and Somali, but may be subject to change.

To qualify for a bilingual pay premium applicants must demonstrate sufficient language proficiency.


Additional Information

WORK SCHEDULE: This position will work a 40-hour work week and is overtime-eligible. Standard work hours are Monday through Friday, 9:00 a.m. – 5:30 p.m.

Schedule assignments are subject to the staffing needs of the department and may include evenings and weekends. This position is overtime eligible.

WORK LOCATION: The individuals selected for these positions will work within a secure correction setting and will be required to work at both the King County Correctional Facility at 500 5th Ave.

in downtown Seattle, and the Maleng Regional Justice Center at 620 W. James St. in Kent.

These positions will be crossed trained to work in either/any facility and able to coordinate/manage a variety of educational programs.
