Full Job Description
The Riverside County Sheriff’s Office is seeking a Supervising Sheriff’s Records Clerk with an immediate vacancy in Palm Desert. The most competitive candidates will possess experience in Records Management System (RMS), Sheriff's Electronic Report Application (SERA), Patrol Tracker and Retention of Electronic Documents (REDS).
Under general direction, supervises criminal records maintenance and related activities at a Sheriff station; provides difficult or specialized criminal records support requiring a thorough knowledge and application of law enforcement codes, vocabulary and procedures; performs other related duties as required.
The Supervising Sheriff’s Records Clerk is the full supervisory level classification and reports to an appropriate manager level position. Incumbents supervise staff in performing the work in the Sheriff’s records function that requires extensive training and knowledge of the specialized automated and manual criminal justice information systems and subsystems in order to access, update and provide information.
The Supervising Sheriff’s Records Clerk is distinguished from the Senior Sheriff’s Records Clerk in that the former is responsible for planning, organizing, supervising, and reviewing the work of employees. The Sheriff’s Records Clerk series differs from the Sheriff’s Records/ Warrants Assistant series by having a more limited scope of responsibility in matters pertaining to warrants than the latter and is assigned to geographical locations outside of the central Sheriff’s Information Services Bureau location.

Requirements
• Supervise and direct support staff and activities of the Sheriff’s specialized clerical staff.
• Assign, review and perform specialized clerical support work such as maintaining, processing and auditing crime reports, warrants, arrest records, and similar records and assembling and filing varied law enforcement data.
• Train assigned staff in general clerical practices, records procedures and specific laws, regulations, policies, and procedures pertaining to the work.
• Evaluate employee performance and effectively recommend employee selection, initial corrective action and other personnel actions.
• Determine work schedules and authorize leave, in order to ensure the timely completion of work and to provide adequate shift coverage.
• Answer inquiries, provide information and resolve complaints from other law enforcement agencies, the public or employees of the work unit.
• Develop, recommend and implement improved operating procedures, forms and work processes.
• Compile operational and statistical data and information; maintain various records and prepare special and periodic reports.
Qualifications
OPTION I
Experience: One year as a Senior Sheriff’s Records Clerk with the County of Riverside.
OPTION II
Experience: Three years of clerical experience including one year in a lead or supervisory position which involved one or more of the following primary responsibilities: assigning and reviewing the work of clerical staff; training clerical staff; devising or modifying recordkeeping procedures and forms; evaluating office practices and developing improvements in clerical procedures. (Completion of 18 semester or 27 quarter units from an accredited college or university in secretarial science, office practices, business education, or a closely related field or 360 hours of training from a recognized occupation training program in secretarial science, business education or a closely related field may substitute for one year of the non-specialized clerical experience.)
ALL OPTIONS
Knowledge of: Supervisory principles and practices, including work planning, scheduling, review and evaluation, and employee training and corrective action; basic functions and activities of a law enforcement agency; basic recordkeeping and accounting methods and procedures; computer operating systems; correct English usage, grammar and rules of punctuation and spelling; standard and legal requirements on confidentiality and privacy.
Ability to: Plan, assign, supervise, review, and evaluate the work of others and the activities of Sheriff’s specialized clerical function to include the interpretation of department policies, procedures, statutes, and other authorities; train others in work procedures; read and interpret rules, policies, procedures, and legal and court documents; use initiative and sound judgment within established guidelines; understand, interpret and apply departmental policies, procedures, rules, laws, regulations, ordinances, functions, and processes applicable to the management of local, state and federal law enforcement records; handle stressful situations with the public and cope with a variety of individuals who may be hostile, aggressive, irate, uncooperative, and/or emotionally disturbed; maintain effective working relationships with those contacted in the course of work.
