Full Job Description

Organizational Location: This position is with the Department of Homeland Security, within U.S.

Customs and Border Protection, Office of Field Operations (OFO), Los Angeles, CA, Los Angeles International Airport (LAX).

You qualify for the GS 07 grade level if you possess 1 year of specialized experience equivalent to at least the next lower grade level, performing duties such as: Compiling, organizing, and comparing information and documentation related to office administration, such as preparing reports, tracking correspondence, and maintaining records to support efficient office operations.

Participating in conferences and meetings by maintaining accurate attendee lists, documenting discussion points, and following up on issues or problems being addressed to ensure timely resolution and continuity of operations.

Scheduling appointments for staff and management, preparing routine correspondence, and reviewing documents to ensure correct grammar, punctuation, and adherence to established formats and guidelines.

Receiving and distributing incoming mail and administrative material, determining requirements for personal reply, and assisting with routine office communications.

Utilizing basic office automation software (e.g., word processing, spreadsheets) to prepare, edit, and format documents, charts, and reports for management review.

You qualify for the GS-09 grade level if you possess 1 year of specialized experience equivalent to at least the next lower grade level, performing duties such as: Screening incoming calls and visitors, exercising judgment to refer them to the appropriate staff member or office, and forwarding only those calls or visitors requiring the manager's immediate attention, thereby ensuring effective time management and prioritization for senior leadership.

Coordinating and attending internal meetings related to labor and employee relations matters, such as grievances, unfair labor practices, proposed and final disciplinary/adverse actions, Equal Employment Opportunity complaints, and appeals to the Merit Systems Protection Board; documenting proceedings, preparing related correspondence, and maintaining confidentiality of sensitive information.

Managing the flow of sensitive management referrals and correspondence, setting suspense dates, and ensuring timely follow-up and resolution of issues in coordination with other managers and staff.

Assisting in the development and implementation of administrative procedures and office practices to improve efficiency, including recommending changes based on analysis of current processes.

Conducting research to gather and analyze information on administrative issues, policies, or procedures, and preparing summaries or recommendations for management consideration.

The purpose of this position is to serve as an office manager and providing administrative analytical support for the organization.

This position starts at a salary of $58,827.00 (GS-07, Step 1) to $93,549.00 (GS-09, Step 10) with promotion potential to $113,185.00 (GS-11 Step 10).

Managing incoming and outgoing correspondence, suspenses, and reports. Receives incoming official mail and ensures proper handling of administrative material.

Working in close proximity to, and have a confidential relationship with, a CBP management official that is significantly involved in labor management relations.

Coordinating requests for information and appointment requests. Screens calls and directs inquiries to appropriate staff.

Conducting research on a variety of documents to gather, correlate, analyze, identify, and recommend solutions to resolve internal management problems and improve efficiency.
