If so, the Department of Natural Resources (DNR) invites you to apply for an exciting opportunity in our Southeast Region as a Region Operations Support Specialist.

This position supports the day-to-day operations of the Southeast Region Office by providing essential administrative assistance and serving as the first point of contact for visitors. Working closely with the Business Operations Assistant Region Manager, you’ll take on a variety of responsibilities while serving as a trusted resource for region staff—helping solve problems, answer questions, and keep daily operations running smoothly.

Requirements

Responsibilities:
  • Respond to general inquiries from the public and specific questions about procedures from DNR employees and other state agencies in person, over the phone, or via email
  • Serve as administrator within the Region Office lobby, with the authority to perform various administrative duties, issuing visitor passes and badges, and identifying and restricting access for specific individuals
  • Serve as primary contact for vendors and service providers, coordinating with region facilities staff as needed for necessary maintenance services
  • Utilize various software to process correspondence and financial items, which may include equations, formulas, and specialized terminology, such as entering monetary transactions daily into the Cash Journal, completing and processing invoices, payroll tasks, etc.
  • Order office supplies, equipment, and specialized items for the Region Office, various work centers, and staff, coordinating with the Procurement & Supply Specialist as needed
  • Ensure property transfer forms are completed and inventory records updated, coordinating with Facilities and Finance as needed to research and resolve any discrepancies
  • Maintain familiarity with all program-specific documents and procedures to keep documents moving, ensure proper documentation is provided, and notify staff when issues arise
  • Help manage Region conference room calendars, controlling access and use of conference rooms by DNR employees and external parties, including public media groups
  • Audit travel expense vouchers and reimbursement requests, schedule travel accommodations as needed for Region staff, ensuring compliance with relevant policies and procedures
  • Review and assign pool vehicle reservations
  • Surplus supplies, equipment, and furniture no longer needed by the Region
  • Participate in developing, implementing, and improving administrative processes and procedures
  • Assist with records management and archiving
  • Serve as backup to the Assistant to the Region Manager as needed

Qualifications

Required Qualifications:
  • Two years of progressively responsible experience in office clerical or general administration work.
  • Proficient in computer skills, i.e., Microsoft Office software (Word, Excel, Outlook).
  • Experience in providing quality customer service and strong interpersonal skills.
  • Accustomed to prioritizing workload and managing competing priorities and deadlines.
  • Accustomed to working independently.
  • Exercises sound professional judgement regarding business operations and problem analysis.
  • Strong verbal and written communication skills.

Special Requirements and Conditions of Employment:
  • A Washington State Notary license must be obtained and maintained within the first 90 days of employment if not already acquired.
  • Position is stationed within the Southeast Region Office (up to 95%). The work environment consists of an office setting. Must be able to move appropriate records/mailboxes (up to 40lbs.) as needed to complete assigned tasks.
  • Position may require travel (up to 5%) for daily mail collection, project work, procurements, attending meetings, or various trainings.
Desired Qualifications:
  • Associate’s degree in public administration or a similar field of study.
  • Knowledge of basic administrative procedures; office practices; correspondence preparation; State and departmental policies; management procedures and practices.
  • Proficiency with record keeping.
