Full Job Description

The Program Support Assistant (OA) supports the Nursing Education department by providing a broad range of administrative, clerical, and technical support.

This position will provide coverage across all three campuses in Manhattan, Brooklyn, and Queens, NY.

The incumbent is expected to report to each campus as directed by the supervisor to ensure the efficient operation of the department. The primary office will be located at the Manhattan VAMC.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/27/2026. TYPING PROFICIENCY: This position requires the skills of a qualified typist.

In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

AND In order to qualify for this position at the GS-6 level, you must meet one of the following: Experience: One (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-6), and that is typically in or related to the position to be filled.

To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service.

Specialized experience is experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information.

NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Preferred Experience: Proficient in Microsoft Office Suite. Able to create and manage spreadsheets, and develop and maintain reports as needed by the Chief of Education or other supervisors.

Major Duties:

Major Duties may include but are not limited to: Process a variety of transactions according to different rules, regulations, and procedures.

Complete technical support assignments, including gathering and compiling information and data entry. Compiling and composing replies to correspondence directed to Nursing Service.

Read, sort, and present incoming mail, attaching pertinent materials as needed. Notify designated executive nursing staff of changes in directives and policies.

Draft and finalize correspondence, reports, charts, meeting agendas, and minutes. Initiate and prepare routine requests and correspondence for signature.

Maintain and organize official administrative files, auditing files regularly.

Performs office automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database, and/or graphics Compose reports of contact when necessary.

Ensure Nursing Service Executives receive important correspondence. Assist in formatting procedures, policies, and reporting requirements for timely submissions.

Maintain the calendar of designated Care Managers and schedule appointments and meetings. Arrange meetings and conferences for staff and visitors upon request.

Provide coverage for other Nursing Service clerical and support personnel during their absence. Orient and train new employees and volunteers on clerical functions.

Prepare work orders and logistics supply requisitions using VISTA and IFCAP programs or by other means. Type a wide variety of subject matter material in final form without rough drafts.

Coordinate the compilation of information for Annul Reports and other recurring reports. Review outgoing correspondence for signature, format, and errors. Additional duties as assigned.
