Full Job Description

The incumbent will serve as the Program Support Assistant for Ambulatory Care Service, VA Ann Arbor Healthcare System.

In this capacity, the position will administratively support the Sub-Specialty Sleep and Dermatology Clinics located at the Green Road offsite location in Ann Arbor.

The incumbent provides expert and independent administrative, technical, and clerical support to the Director, Sleep Clinic, Chief of Dermatology, and to the Registered Nurse Manager at the Green Road location.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/16/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.

For a GS-7 position you must have served 52 weeks at the GS-6 grade. The grade may have been in any occupation, but must have been held in the Federal service.

An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials.

If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement.

In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

Interchange Agreement: Applicants must be eligible under the VA Interchange Agreement, having served continuously for at least one year in the other merit system under this interchange agreement.

You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization.

Examples of specialized experience would typically include, but are not limited to: Possess knowledge of applicable laws, VA regulations, and local policies as they relate to Chief of Staff Service; Possess knowledge of JCAHO guidelines and utilize it for resource purposes; Ability to use: VISTA, Computerized Patient Record System( CPRS), Surgery Package, Non-OR Package, Appointment Management, Window OS, Microsoft Office Suite, Dragon dictation software, and other software; Extensive knowledge of specialized principles and practices of health care administration; Apply improvement methodologies and techniques such as systems and procedures analysis; Work measurement, Planning, Control techniques, various types of qualitative analysis, flow diagrams and questionnaires: Analytical and evaluative techniques and statistical analysis; You will be rated on the following Competencies for this position: Administration and Management Flexibility Technical Documentation Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social).

Physical Requirements: The incumbent's work is mostly sedentary; however, some walking, standing, bending, and carrying of light-to-medium weight items is required.

Major Duties:

Prepares, processes, and reviews internal and external correspondence materials covering subjects of a program/administrative nature to include but not limited to, reports, memoranda, letters, etc., and understands the importance of accurately routing any correspondence to the appropriate party/parties for signature(s)/approval.

Independently composes memoranda for Chiefs, Sleep and Dermatology Clinics, and/or RN Manager as required.

Responsible for specialized and complex work encompassing such issues as the workplace environment, information management, and other duties related to overseeing the administrative management of Sleep Clinic and Dermatology Clinic operations.

Other administrative duties responsible for include data gathering, analysis, tracking, trending, and reporting independently; interactions with veterans, their families and representatives, writing, reports and controlled correspondence and action items, and other duties as assigned.

independently managing the calendars for the Chief, Sleep clinic, Chief, Dermatology clinic, and RN Manager as requested; creating and editing clinic profiles as needed with the Clinic Profile Team; routing, assigning actions and logging data of correspondence, receiving/reviewing/responding to incoming mail; performing a variety of Word processing assignments, maintaining a suspense file of all correspondence and action items.

Act as a liaison between Sleep Clinic, Dermatology Clinic, and OI&T Service as it pertains to Service-specific information and systems.

Serves as a primary ADPAC with processing Electronic Permission Access System (EPAS) requests for employees within the Service, as well as YourIT requests; will also Provide back-up support to other team members under Ambulatory Care Services as needed.

Complete quarterly and/or 180-day reviews of Sub-Specialty Medicine employees to ensure VISTA keys are correct and appropriate for system access.

Complete other necessary ADPAC duties as assigned and attends monthly ADPAC meetings. Serve as the Personal Identity Verification (PIV) Sponsor for the Service.
