Full Job Description

Reporting to the Associate Registrar for Registration and Academic Scheduling, the Program Assistant performs administrative tasks in support of the department’s daily operations and serves as department receptionist, providing exceptional customer service to visitors and for phone and email inquiries.

  • Provides data/information management support and resolves issues based on audit reports.
  • Codes and/or monitors for the Employee Educational Assistance Program (EEAP), honer society and senior citizen registration.
  • Maintains office website.
  • Oversees Parchment, the online transcript ordering software: Initiates refunds, processes internal transcript requests and creates a monthly summary report regarding all transcript processing.
  • Registers students for classes.
  • Processes drops, withdrawals and schedule change requests and advises students when further action is needed to complete the process.
  • Serves as the department’s first point of contact for visitors and callers by evaluating requests for information and responding and/or taking appropriate action.
  • Reconciles departmental procurement card purchases.
  • Handles departmental deposits with the Cashier’s Office.
  • Maintains and orders office equipment and supplies.
  • Submits work order requests.
  • Prepares printing requests.
  • Assists with Commencement activities.

Requirements

  • Bachelor’s degree; associate’s degree and two years of relevant experience; or high school diploma and four years of relevant experience.
  • Proficiency with Microsoft Office software.
  • Knowledge of office business best practices and procedures.
  • Sufficient technical skills to master office equipment and software programs/applications necessary to perform job duties at a high level.
  • Effective customer service and oral and written communication skills.
  • Exceptional interpersonal skills and ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
  • Ability to maintain discretion in working with confidential information and ability to work on a variety of projects simultaneously and with accuracy despite frequent interruptions.
  • Must be prompt and reliable in opening the office each morning at the designated time.

Qualifications

Bachelor’s degree; two years of customer service experience; prior experience in a higher education setting; and proficiency with Banner student information system and basic web editing.

Additional Information

Travel/Overtime Requirements: Two Saturdays per year for May and December Commencement.
