The Loudoun County Department of Family Services seeks a dedicated and experienced professional to join our team as a Program Assistant. The successful candidate will join the finance team supporting the Child Protective Services program within the Department of Family Services, which envisions better health, safety, and well-being for all. We support individuals and families in the community to live their best lives while advocating for those most vulnerable and respecting their right to self- determination.

Requirements

The Finance Operations Team is responsible for the setup and maintenance of department suppliers, processing payments through various systems, and managing accounts payable functions. As part of this team, the Program Assistant will support the Child Protective Services program by ensuring timely and accurate payments to suppliers using State, Federal, and County-funded sources in support of the most vulnerable of our community.

Key responsibilities include, but are not limited to:
  • Requesting the set-up of new suppliers and maintaining supplier data.
  • Processes invoices for payment and daily payments.
  • Processes program registration and payments.
  • Initiates refunds.
  • Assists with inventory records and storage.
  • Reviews and evaluates daily transaction postings, alerts management and systems of file posting errors, and assists with corrections to data.
  • Monitors assigned accounts for discrepancies.
  • Reconcile accounts, bank, and credit card accounts.
  • Entering payment requests into the appropriate payment system.
  • Working collaboratively in a team environment with Department and Countywide staff.
  • Ensuring timely execution and completion of assigned projects, and may perform other administrative tasks as necessary.
  • May perform other essential job functions specific to the position and department assignment.

Hiring salary is commensurate with experience.


Qualifications

High School diploma or equivalent and two (2) years of related work experience or equivalent combination of education and experience.

Preferred:
Knowledge of basic accounting/finance practices and principles.
Bilingual skills in Spanish.

Additional Information

Employment is contingent upon successfully passing pre-employment background checks, which may include fingerprinting, criminal, Child Protective Services (CPS), credit, DMV, and tuberculosis (TB) screening. For DMV check, valid driver’s license and good driving record required (driving records may be reviewed annually for continued qualification).

For licensed programs, requirements include: Fingerprinting, TB test within 30 days of hire; pass Child Protective Services (CPS) check and hold or obtain First Aid/CPR certifications at hire or within four (4) months.

Some programs may have additional legal requirements, credentials, or certifications to meet prior to hire or within the probationary period and/or annually.
