Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social).
You will receive credit for all qualifying experience, including volunteer experience.
Your resume must clearly describe your relevant experience; if the position allows for qualifying based on education, your transcripts will be required as part of your application.
Qualifying Experience: Responsible experience which provided a thorough knowledge of office automation software (i.e., desktop publishing, word processing, calendar, and/or other software packages), and knowledge of correspondence, formats, grammar and spelling.
Knowledge of rules, procedures, or operations applied to clerical assignment to perform the routine, procedural work of the office, such as preparing and editing documents, maintain files/records, making and preparing travel arrangements, screening telephone calls and visitors, processing mail, planning, organizing, and carrying out assignments and composing routine, nontechnical information for recurring reports and inquiries.
Experience must have demonstrated the ability to perform research, select, arrange and compose material, and maintain organized files. Skill in typing; a qualified typist is required.
Must have ability to read, write, and speak English. Ability to communicate effectively, both orally and in writing, using tact and courtesy.
You will be evaluated on the basis of your level of competency in the following areas: Major Duties:
Using desk top publishing, word processing, calendar and other software packages, processes documents involving many different styles of heading and arrangements of material within the text, (i.e., flyers, brochures, calendars, posters, pamphlets, booklets, and other marketing material).
Uses sample documents and correspondence manuals to determine how material should be presented. Formats documents automatically by using macros available within the software.
When macros are not available, formats each document separately by executing each functions, e.g., indentation, type font, underlining. Uses own judgment in spacing columns of tabular material.
Produces illustrations, charts, graphs, layout text, graphics, and pictures and uses multiple styles and sizes of type.
May use calendar software to schedule events on one or more calendars for publication. Using software chooses appropriate art form for publication.
May compose material to accompany flyers, brochures, etc. Other forms of art work are available for cut and paste techniques for publication. Performs other related duties as assigned.
Transmits and receives documents and messages electronically using personal computers or workstations that are networked or linked to other computers or workstations.
Prepares a wide variety of recurring correspondence, internal reports, and other documents from information obtained from the staff, files, and other sources and reviews and finalizes documents prepared by others.
Composes routine, nontechnical correspondence, such as requests for information. Proofreads/edits correspondence and documents for correct grammar, spelling, capitalization, punctuation, and format.
Consolidates and finalizes information for various reports in accordance with established reporting procedures and/or instructions from the supervisor.
Gathers and summarizes information from files and documents for supervisor's or other staff members' use in responding to inquiries. Coordinates/forwards correspondence to appropriate office.
Reviews and processes incoming and outgoing correspondence, materials, publications, regulations, and directives.
Establishes suspense dates as directed by the supervisor and brings to supervisor's attention those that cannot be met by requested dates.
Reviews outgoing correspondence for procedural and grammatical accuracy and conformance with administrative requirements. Receives children, youth, parents, and other visitors in a courteous manner.
Based on general knowledge, refers telephone callers and visitors appropriately.
Oversees the collection, accurate accounting and reporting of funds; and to collect and maintain up-to-date statistical data and planning and reporting IA W higher headquarters requirements.
Utilizes an electronic cash register system and calculator to compute and record individual transactions for customers and to enter data into predefined categories for regulatory-signed statistical reports and tracking of income data as it pertains to the Child and Youth Programs.
Requisitions office supplies, printing support, and related materials. May be responsible for the receipt, control, logging, safekeeping, and necessary action on classified materials.
Updates tracker or suspense files as required. Ensures compliance with policies and regulations applicable to Air Force Child and Youth Programs. Performs other related duties as assigned.
