Full Job Description

IT Workforce Compliance Coordinator

The Department of Administration's (Admin) Office of Technology and Information Services (OTIS) is the state’s central provider of IT services to state government agencies.

Our Administrative Support team is the organizational mechanism that keeps this fast-paced environment on track.

As a member of the Administrative Support and Customer Care team you will support core business functions within OTIS.

This position is directly responsible for ensuring compliance for identified certifications necessary for our organization.

In addition to OTIS operational support, this position also supports the Division of Enterprise Applications (DEA), Division of information Security (DIS) and Office of Information Technology (OTIS) with staff augmentation contractor usage.

You will work with procurement, general counsel, finance, and division leadership to ensure contractor compliance, drive contract advertisements, and be responsible for assisting managers in the hiring lifecycle.

You will monitor our staff augmentation contracts, and purchase orders to ensure no break in service so that our business functions in a manner that achieves our organizational vision.

This position is onsite in Columbia, South Carolina.


Responsibilities of the IT Workforce Compliance Coordinator:
  • Coordinate OTIS wide compliance efforts related to specific certification training and certification tracking to include expiration dates ensuring no lapse.
  • Capture training and certification tasks needed to ensure personnel meet the regulatory requirements.
  • Develop, assist with monitoring, and maintain a compliance reporting tracker with the support of leadership for aid in monthly compliance cadence meetings.
  • Serve as main POC for compliance related tickets for new employees and ensure compliance requirements are enforced and communicated throughout the employee compliance lifecycle.
  • Manage staff augmentation contracts including posting engagements, scheduling interviews, and extending offers for DEA, DIS, and OTIS. Perform day-to-day operational functions for contractor engagements. Responsible for tracking hires/renewals/ends to ensure no gap in service.
  • Ensure hiring manager has completed all technical and compliance related tickets/tasks required for onboarding and offboarding of contract employees.
  • Assist managers with compiling position descriptions for open contract positions and initiate approval process for new contract engagements with procurement, legal, and finance.
  • Assist hiring managers with tracking and troubleshooting all technology related Service Now tickets/tasks for onboarding and offboarding to ensure connection to and disconnection from electronic devices, networks and systems.

Requirements

  • A bachelor's degree and relevant program experience. Relevant experience may be substituted for the bachelor's degree on a year for year basis.
Additional Requirements:
  • CJIS certification will be required for this position.
  • Other training and certification for specific data types will be required.
  • Knowledge of and experience with Office365 applications and tools.
  • Knowledge of laws, regulations, policies and procedures relevant to the area of employment.
  • Ability to exercise judgment and discretion.
  • Ability to establish and maintain effective working relationships.
  • Ability to compose and analyze complex reports and documents for leadership.
  • Experience in the use of Microsoft Office products.
  • Prior experience utilizing a ticketing system is a plus.
  • Understanding of an IT operational standards is required with prior experience identifying operational efficiency and process improvement within job scope.
