Job Description

Summary

This job involves handling clerical tasks to support military personnel programs, such as scheduling appointments, processing paperwork for training and assignments, and maintaining records for things like evaluations and separations.

The primary purpose of this position is to perform a wide variety of both procedural and substantive clerical work supporting one or more military personnel programs, operations, or functions, e.g., recruitment, induction, or separation providing office automation support using multiple office automation software with varied functions to produce a wide range of documents.

In order to qualify, you must meet the specialized experience requirements described in the Office of Personnel Management (OPM) Qualification Standards for General Schedule Positions, such as Clerical and Administration Support Position.

SPECIALIZED EXPERIENCE: Applicants must have at least one (1) year of specialized experience at the next lower grade GS-04, or equivalent in other pay systems.

Examples of specialized experience includes schedule all required appointments for technical training students within the Student Processing office.

Process all required paperwork for medical training students to receive assignment orders.

Identify gaps or inconsistencies in individual personnel record and initiates actions to obtain needed data to complete.

Review products to identify and correct mismatched data in system and to ensure projections and confirmations have consummated and required actions have been taken.

Retrieve data from various information sources for use in answering questions, responding to correspondence, or preparing reports or briefings.

Use a variety of office automation hardware, software, and peripherals in the performance of military personnel functions and maintains files.

Advise on eligibility requirements for retirements and separations, relocation, reclassification, etc.

OR EDUCATION: Must have successfully completed four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.

OR COMBINATION OF EXPERIENCE AND EDUCATION: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs): Your qualifications will be evaluated on the basis of your level of knowledge, skills, abilities and/or competencies in the following areas: 1.

Knowledge of the military personnel regulations and procedures relating to transactions processed. 2. Knowledge of military organizational structure, protocol, and similar matters. 3.

Knowledge of general office administrative and clerical procedures. 4.

Knowledge of the military personnel automated system and of various office automation software programs, tools, andtechniques to support office operations and produce a variety of documents such as letters, reports, spreadsheets, databases,and graphs.

5. Skill in typing; a qualified typist is required.6\. Ability to communicate effectively, orally and in writing.

PART-TIME OR UNPAID EXPERIENCE: Credit will be given for appropriate unpaid and or part-time work.

You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.

VOLUNTEER WORK EXPERIENCE: Refers to paid and unpaid experience, including volunteer work done through National Service Programs (i.e., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student and social).

Volunteer work helps build critical competencies, knowledge and skills that can provide valuable training and experience that translates directly to paid employment.

You will receive credit for all qualifying experience, including volunteer experience. Major Duties:

Processes standard actions for assigned area such as performance evaluations, awards, decorations, military classifications, duty status, special duty assignment pay, P/C/DAFSC maintanence, G-series orders, leave management, adverse actions, permanent change of assignment, duty information management, or similar matters and performs a substantive review of records to determine eligibility for actions.

Reviews reports, forms, documentation, and other related information concerning Air Force members and constructs/maintains military personnel records or portion pertinent to assigned area.

Uses multiple office automation software with varied functions to produce a wide range of documents, formats, etc., pertaining to assigned area of military personnel.

Specific processing functions involved require a varying number and sequence of steps and use of different functions from one assignment to another.

Performs clerical support to ensure efficient office operations. Receives and answers routine telephone inquiries or refers to appropriate staff.

Updates, inquires, and processes actions through the Personnel Data System and Defense Joint Military Pay System(DJMS).
