Executive Program Coordinator
The Department of Administration's Deputy Chief of Staff Office is seeking an experienced Executive Program Coordinator to join our agency. The Deputy Chief of Staff office aides in managing daily operations, personnel, and key projects to support Admin operations. This role will provide support to the Executive Program Manager for overall planning, execution and delivery of multiple business initiatives varying in degrees of complexity. This is an intuitive position, with the ability to listen to overall goals and develop a well thought out plan of action. In this role, you will help maintain organization, documentation, and communication for multiple programs and projects managed through the Executive Director's Office while ensuring leadership has accurate information needed to support decision making. The position works closely with internal teams and external agencies to track progress and support project execution. This position also assists in organizing complex operational information into clear formats such as organizational charts, tracking tools, and briefing materials to support leadership visibility and planning.
This position is onsite in Columbia, SC.
Responsibilities of the Executive Program Coordinator:- Assist in coordinating and tracking projects managed through the Executive Director's Office by maintaining timelines, task lists, status updates, and project documentation. Monitor progress and facilitate Program Manager in ensuring projects stay aligned with deadlines.
- Prepare materials for project team meetings and executive updates. Ensure action items are documented for tracking purposes. Assist with assignment of tasks based on meeting outcomes. Responsible for continued tracking of item completions.
- Support communication of project related communications with stakeholders. Responsible for scheduling meetings, compiling updates, and facilitating the flow of information to intended audience.
Maintain project files, reports, and tracking systems. Assist in developing and maintaining organizational charts, project documentation, and other materials used to support operational planning.
Assist in identifying potential scheduling, coordination, or communication issues that could impact project timelines.
- Perform other duties as assigned.
Requirements
- A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.
- Prior experience supporting executive level leadership with varied business initiatives.
- Expert use of business tools to create executive level reports and visuals.
Additional Requirements:- Knowledge of basic project and program coordination, administrative procedures and office operations.
- Ability to identify priorities and quickly maneuver between priorities to ensure completion of necessary tasks.
- Deliver timely project health and performance reports for executive audience.
- Ability to work effectively in a team environment to Identify, monitor, track, resolve and escalate issues within established guidelines.
- Expert use of office reporting and visual tools to prepare organizational charts, presentations, and project plans.
- Ability to thrive in a fast-paced environment, easily visualize the goal, and drive to completion.
- Must be able to work with a diverse group of professionals in all levels of the organization.
