Full Job Description

Reporting to the Provost/Vice President for Academic Affairs, the Executive Assistant to the Provost’s Office provides high-level administrative support to the Provost and Division of Academic Affairs, manages complex and confidential university business, and coordinates and supports division projects and initiatives.

Administrative Support
  • Serves as primary contact for internal and external constituents on behalf of the Provost and Academic Affairs.
  • Manages communication for the Office of the Provost (e.g. phone, emails, inquiries).
  • Coordinates complex scheduling and travel arrangements for the Office of the Provost.
  • Collaborates with the President’s Office and senior staff on Provost-involved projects.
  • Manages coordinated projects for the Office of the Provost (web development, communications, marketing materials, presentations, social media).
  • Maintains core Provost’s Office calendars, workflows, physical office space and documentation.
  • Oversee office supplies, IT equipment, office infrastructure and work requests.
Financial & Personnel Support
  • Supports development and monitoring of yearly discretionary budgets for the Office of the Provost and Division of Academic Affairs.
  • Processes and submits financial requests (travel authorization, reimbursements, procurement, foundation).
  • Analyzes, reviews, and processes academic personnel responsibilities (appointments, merit awards, tenure, promotions, recruitments and appeals).
Faculty Affairs, Professional Development and Accreditation Support
  • Supports faculty affairs processes (e.g. hiring letters, tenure and promotion letters, sabbatical letters, award matters, emeriti matters, committee appointments).
  • Provides administrative support for the Executive Director of the Center for Professional Excellence (CPE) and CPE campus partners on learning and professional development initiatives (including, but not limited to, CPE office management, website and calendaring tool maintenance).
  • Develops and implements marketing plans for CPE programming.
  • Provides support in executing Winthrop’s Quality Enhancement Plan (QEP) and instructional development initiatives.
  • Designs instructional materials and performance systems for key institutional initiatives.
  • Manages and maintains CPE programming, including website updates, scheduling tools and space reservations.

Requirements

Bachelor’s degree and two years of relevant experience.

Additional Information

Travel/Overtime Requirements: Occasional overtime in support of academic office commitments may occur (e.g. commencement, new faculty dinner, World Wide Winthrop Day)
