Full Job Description

The South Carolina Department on Aging is hiring for an Executive Assistant. Will serve as the Executive Assistant to the Office of the Agency Director.

The Executive Assistant plans, coordinates, and performs multiple administrative activities in support of the Executive Office. Some of the duties include, but not limited to:

The Executive Assistant provides comprehensive executive and administrative support to the Director, executive leadership, staff, and external stakeholders, ensuring efficient daily operations and effective departmental workflow.

Responsibilities include serving as the primary point of contact for visitors and callers, responding to general inquiries, and providing professional customer service.

The Executive Assistant supports the Director and Executive Leadership Team by coordinating schedules, answering and directing calls, reserving conference rooms, and supervising the receptionist to ensure effective front desk operations.

The Executive Assistant assists with coordinating meetings; prepares agendas; records and distributes meeting minutes; and drafts, proofreads, distributes, and maintains official documents and correspondence.

The position also maintains agency and Area Agency on Aging (AAA)/provider phone lists, email distribution lists, and contact databases.

This position assists with planning and coordinating agency events, including Senior Day, the Aging Summit, and the Annual 5K Race, supporting logistics and execution.

Additional duties include developing and maintaining executive systems and procedures, participating in professional development activities, providing front desk phone coverage as needed, assisting with outreach events, and performing other related duties as assigned.

Requirements

A high school diploma and relevant experience in business management, public administration or administrative services. A bachelor's degree may be substituted for required work experience.
