Full Job Description

Every minute of every day, the East Bank Development Authority (EBDA) and its partners are at work building Nashville’s next great neighborhood.

We are seeking a highly organized, service-oriented, and mission-driven Executive Assistant to support our senior leadership team and growing staff as we manage the transformation of 550 acres of riverfront land.

This is a unique opportunity to work at the center of the most ambitious infrastructure and development project in Nashville’s history.

This is a non-civil service position.

THE ROLE

The East Bank Development Authority (EBDA) was created in 2025 by the State of Tennessee and Metropolitan Nashville-Davidson County to plan, guide, and implement the community’s vision for 550 acres on the east bank of the Cumberland River.

In collaboration with a broad array of public and private partners, EBDA is creating Nashville’s next neighborhood.

Currently, we are looking to expand our team by adding an Executive Assistant who will take responsibility for making sure numerous operational and external-facing aspects of our work are handled professionally and efficiently.

We are a small, dedicated group, and finding a candidate who fits our fast-paced, outcomes-oriented culture is as important as technical skills. To that point, we are seeking someone with a great work ethic and the following specific qualities:

  • Problem-Solving: You should genuinely enjoy calendaring, logistics, and other detail-oriented tasks that are crucial to the larger vision we are executing.
  • Service-First Mindset: You continually look for new ways to be helpful and contribute to our team, and you find fulfillment in supporting others from the background.
  • Hospitality Roots: Experience in hospitality or customer service is a major plus; we value the high-touch communication skills learned in those sectors.

Starting salary is commensurate with experience.

Requirements

Executive Coordination & Strategic Scheduling
  • Manage high-priority, complex calendars for the CEO, COO, and members of the senior staff, ensuring that all meetings, commitments, and institutional priorities are effectively scheduled and communicated.
  • Facilitate seamless coordination with internal staff and external stakeholders, including elected officials at Metro Nashville and the State of Tennessee, as well as private-sector development partners, vendors, and subcontractors.
  • Provide day-to-day administrative support to executive leadership to ensure that meetings, briefings, and other public appearances are prepared and executed with maximum effectiveness.
Board Support & Engagement Logistics
  • Lead the preparation for monthly EBDA Board meetings by coordinating logistical details (i.e. meeting venues, parking arrangements) and ensuring that agendas, presentations, memoranda, and other sensitive materials are organized and ready for board member and public review.
  • Provide direct on-site support to the CEO, COO and members of the senior staff at select meetings or public events to facilitate the effective execution of EBDA objectives.
Administrative Operations & Document Management
  • Maintain accurate and organized records of all official signed documents and correspondence to ensure institutional compliance.
  • Prepare and process expense reports, reimbursements, and other mandatory financial reports accurately and in a timely manner for executive leadership.
  • Perform auxiliary administrative duties as assigned to ensure the continuous operational effectiveness of the senior staff.
  • Handle sensitive development negotiations and inter-agency communications with the highest level of confidentiality and professional discretion.

Writing, Correspondence & Representation
  • Manage official correspondence on behalf of the CEO, COO, and members of the senior staff, including drafting letters, emails, and acknowledgments in the established professional EBDA voice.
  • Draft and edit statements, memoranda, and other public-facing material, in coordination with the Communications Director and senior staff.
  • Collaborate with various internal and external parties to gather the necessary data and context required for technical and official correspondence.
