Full Job Description

Reporting to the Business Center Manager, the Employment Associate works with assigned departments to submit employment and payroll forms and documentation to Human Resources (HR) and the Payroll Office and facilitates other personnel actions for permanent, temporary and student employees.

Recruiting and Hiring
  • Supports departments in hiring new employees, including faculty, staff and students.
  • Collects and/or prepares required documentation/paperwork by coordinating with the hiring department, Budget Office and Human Resources.
  • Initiates electronic personnel action forms (epafs) for new hires and rehires.
  • Ensures compliance with hiring policies and procedures.
  • Retains records and files according to adopted naming conventions, organization and record retention protocols.
  • Escalates complex problems.
Personnel Actions
  • Coordinates with Human Resources and the Budget Office to assist assigned departments in completing Request for Salary Action forms and initiating epafs for personnel actions, including temporary assignments and salary and position actions, for permanent faculty and staff.
  • Assists departments in revising and ending assignments for temporary employees.
  • Monitors epafs and communicates with approvers/reviewers as needed to keep them moving through the system in a timely fashion.
Reporting
  • Meets with departments routinely to proactively manage employment needs.
  • Maintains roster of personnel and vacant positions for assigned departments.
  • Assists in the preparation of routine, standardized reports.
Onboarding and Offboarding
  • Assists with interview scheduling and applicant support.
  • Supports requests for technology and system access for new hires.
  • Supports offboarding checklist.
Payroll
  • Assists in preparing Payroll Adjustment and other forms.
  • Supports management of timesheet completion and approval.
Other
  • Creates and maintains procedural documentation.
  • Serves as backup for other members of the assigned Business Center.

Requirements

  • High school diploma and four years of payroll or human resources experience; an equivalent combination of education and experience may be considered.
  • Intermediate proficiency with Microsoft Excel, including pivot tables, aggregation formulas and lookup functions.
  • Working knowledge of basic employment-related terminology, laws and regulations.
  • Working knowledge of payroll processing principles and practices.
  • Working knowledge of Winthrop’s employment and payroll processes and procedures preferred.
  • Effective oral and written communication skills.
  • Effective organizational skills and the ability to effectively coordinate a variety of concurrent tasks.
  • Demonstrated ability to meet deadlines and work with accuracy and attention to detail in a high-volume environment.
  • Good interpersonal skills and the ability to establish and maintain effective working relationships with faculty, staff, students and the general public.
  • Exceptional customer service skills.
  • Ability to exercise sound judgment and discretion with confidential information.
  • Sufficient technical ability to master required software.

Qualifications

  • Proficiency with Adobe and Microsoft Word, PowerPoint, and SharePoint.
  • Experience working as part of a service team.
  • Experience with Banner or similar integrated software system.
  • Relevant experience at an institution of higher education.

Additional Information

Travel/Overtime Requirements: Occasional work outside normal business hours.
