Job Description

Summary

This job involves leading a records office in a Michigan prison, where you'll manage staff, handle prisoner files, verify releases and transfers, and coordinate with courts and databases to keep everything accurate and up-to-date.

Key Requirements

  • High school diploma or equivalent education
  • One year of experience as a Departmental Supervisor 11 or equivalent experienced-level professional
  • Or two years equivalent to Departmental Supervisor 10, Office Supervisor 11/12, Secretary Supervisor 11, or experienced-level technician/paraprofessional
  • Or three years equivalent to Office Supervisor 10, Secretary Supervisor 10, Emergency Dispatch Supervisor 10, or Human Resources Customer Service Supervisor 10
  • No felony convictions; misdemeanor or felony convictions disqualify until sentence fully completed including parole/probation
  • Ability to act as LEIN Terminal Agency Coordinator (TAC)
  • Proficiency in managing records, budgets, and coordinating prisoner-related processes

Manage and supervise operations, files and staff of the Macomb Correctional Facility (MRF) Record Office. Hire and train new and current employees in Record Office duties and LEIN functions. Records, reviews and verifies the validity of prisoner releases, Writs, transfers and database entries. Coordinates all new/amended judgment of sentences and time reviews with the Central Time Computation Unit (CTCU) for processing, entry and distribution upon completion. Answers correspondence from prisoners, phone and emails from staff, public, courts, etc. Maintains Record Office budget. LEIN Terminal Agency Coordinator (TAC). Utilizes OMS, OMNI, LEIN, Offender Watch, e-mail, Judicial Data Warehouse (JDW) and other various court databases and websites to complete daily duties. Ensures pending charges and detainers are processed according to the Record Office Manual. Ensures all Record Office operating procedures are updated in a timely manner. Acts as back-up Transfer Coordinator when necessary.

New hires to the MDOC along with previous MDOC employees that are returning after being away from the department for more than two years will complete Non-Custody New Employee Training (NCNET) either 40 hours or 80 hours of initial in-person training based on their level of offender contact and job classification.

All new employees will complete additional online training to successfully complete their non-custody new employee training. PLEASE NOTE: Overnight travel may be required.
