Job Description

Summary

This role involves overseeing the daily operations of the criminal records division in a county clerk's office, including managing staff schedules, training employees, and ensuring accurate record-keeping and compliance with laws.

It also includes handling special tasks like processing witness travel and financial duties when needed.

A good fit would be someone with supervisory experience in legal or administrative settings who is organized, detail-oriented, and comfortable with both people management and procedural work.

Key Requirements

  • Bachelor's degree in a related field with at least two years of full-time work experience in a related field, or Associate's degree with at least four years of experience

Full Job Description

Provide management of the day-to-day operations of the Criminal Division of the District Clerk's Office and oversight of the work production, quantity and quality of work completed. Schedule work assignments, assign hours and work locations. Train and evaluate employees. Handle difficult problems, develop and implement programs and procedures, monitor departmental resources and ensure compliance with policies and laws. Assume the duties of the manager in his/her absence.

Requirements

  1. Coordinates, schedules, monitors and evaluates workflow and the work product of employees
  2. Formulates appropriate information for preparation of monthly statistical report required by the Office of Court Administration, and a report prepared by court
  3. Assumes the duties of Criminal Manager in his/her absence. May perform the duties of subordinates in their absence or as required by workload
  4. Assists the District Clerk, Operations Manager and Criminal Manager with special projects, assignments and reports. Researches and tracks new legislation and determines impact to the Criminal Division. Implements procedures to comply with new legislation
  5. Plans, coordinates and evaluates clerk training. Determines training needs and schedules employees to attend seminars
  6. Assists in interviewing job applicants. Makes recommendations concerning hiring, promotions, demotions, terminations or any disciplinary actions
  7. Assists in determining and preparing procedural guidelines and instructions and ensures that they are distributed to and implemented by employees
  8. Processes motions and orders for out-of-state witnesses for defense attorneys. Schedules and coordinates hotel accommodations and air travel with court date
  9. Responsible for the security (safekeeping) of cash drawer fund monies received. Verify monies deposited ascertaining that receipts and monies balance. Maintains a detailed money drawer control sheet for each
  10. Maintains inventory of supplies and equipment, and orders as needed. Purchasing responsibilities include preparation of requisitions, ascertaining prices and vendors
  11. Supervises imaging process and quality control, establish imaging procedures as required
  12. Ensures that records are accurately reported to the Texas Department of Criminal Justice (CJIS) for all felony dispositions
  13. Assists system analyst with the development of programs, modifications needed and correction of errors
  14. Represents the Criminal division and the District Clerk's Office at seminars and meetings
  15. Evaluates performance of employees, identifying strengths and weaknesses and providing development, guidance and motivation. Makes recommendations for replacement when appropriate
  16. Acts as resource for staff questions regarding customer issues, policies, etc
  17. Processes judicial bypass cases filed in criminal division ensuring confidentiality
  18. Performs all other related duties involved in the operation of the District Clerk's office as assigned or required

Qualifications

  • Bachelor's degree in related field AND Minimum of two (2) full-time years' work experience in a related field. -OR-
  • Associate's degree in related field AND Minimum of four (4) full-time years' work experience in a related field -OR-
  • High School diploma or GED AND Minimum of six (6) full-time years' work experience in a related field
  • Spreadsheet and/or word processing software knowledge/experience preferred, with either specific program applications or general applications such as Microsoft Office Suite and Excel.
  • Good, clear and distinct oral and written communication/presentation skills.
  • Effective interpersonal and leadership skills.
