Correctional Records Technician

Full Time | Permanent | Teamsters

Location: Tumwater, WA

Salary Range: $4,735 - $6,356 Monthly



As a custodian of incarcerated and supervised individual records, the Correctional Records Technician (CRT) will perform duties for the Correctional Records Office to ensure compliance with appropriate laws and agency policy.

The CRT contributes to the agency’s mission to improve public safety by reviewing, entering, and auditing, and, on behalf of the agency, the legal documents that hold incarcerated individuals within the agency’s facilities and/or individuals under the jurisdiction of the Department of Corrections for appropriate confinement and supervision within the community.


In this role, you will work with the Correctional Records Technician Lead (CRT-L) and Correctional Records Supervisor (CRS) to use independent judgment to accomplish assignments, assist in developing or suggesting work methods, procedures and resolve problems.

You will play a vital role in improving public safety by assisting with creating processes to ensure that incarcerated individuals are released from reentry confinement while being the subject matter expert.

Requirements



As a Correctional Records Technician, some of your duties will include:

  • Review and verify offender sentence structure and criminal history information for the Youthful Offender Program and Interstate Compact Inmate caseloads.

    • Ensure contents of offender records are legal, accurate and maintained in a secure setting.
    • Review and verify accuracy of legal documents relating to convictions and sentencing.
    • Verify electronic data base information against source documents and resolve problems that relate to the offender sentencing.
    • Verify identification of offenders to law enforcement through pictures, fingerprints and other physical data.
    • Navigate and work with multiple electronic technologies/applications to enter and retrieve data.

  • Maintain electronic and physical files for the Youthful Offender Program and Interstate Compact Inmate caseloads.
    • Utilize, update and maintain databases and programs containing information relative to Offenders conviction, sentence and violation history.
    • Enter information into the Departments electronic offender database.
    • Archive offender records according to established procedures.
    • Maintain that the confidentiality of information is protected by agency policy or federal or state laws.

  • Provide effective, thorough and timely communication for processing requests.
    • Respond to requests for public disclosure in compliance with federal and state public disclosure laws. Testify in court as an expert witness regarding the validity of offender records and identity.
    • Provide direct support to the Correctional Records Supervisor and caseload carrying staff.
    • Correspond with appropriate court or other legal staff to resolve sentence discrepancies or other issues related to the structure of offender sentences.
    • Complete appropriate offender records paperwork affecting custody and release as required and within established timeframes.
    • Respond to offender correspondence accurately and in a timely manner ensuring a copy of the response is entered into the offender electronic data system.

  • Verify and assist with records related functions with Classification. Assist and complete any requested/assigned projects from within Classification and/or other stakeholders.
    • Assist Classification Staff with interpretation of offender sentence structure and detainers.
    • Assist with Transfer orders, Institution transfers and validating International Treaty offenders.
    • Respond to records related questions regarding extradition. Transportation, violators, Out of State offenders and County boarders.
    • Evaluate accuracy of good time calculations for offenders.
    • Research, interpret, compile, utilize and report data related to any assigned/requested projects associated with Records processes.
    • Other duty as assigned.

Qualifications

Required Qualifications:
  • High school diploma or equivalent.
  • One (1) year experience maintaining or processing incarcerated individual files electronically or in hard copy, such as legal, property, grievance, administrative, medical, parole, counselor, and/or custody files in a government law enforcement office, court-setting, or an adult or juvenile correctional agency.
  • Professional working experience with the interpretation of records-related documents and determining action to be taken.
  • Demonstrated ability to communicate effectively with coworkers, the public, and/or criminal justice agencies.
  • Demonstrated ability to analyze and solve problems under highly stressful or adverse situations.
  • Must respect and maintain confidentiality.
