Requirements

In this position, you will deliver comprehensive clerical and administrative support to the superintendent and the superintendent’s assistant.

Responsibilities include overseeing all correspondence, maintaining confidential communications, drafting and proofreading official letters and memoranda, and ensuring records are accurately organized and maintained.

You will attend superintendent’s staff and department head meetings, recording, transcribing, and distributing meeting minutes as needed.

Additional duties include managing multiple phone lines by screening and directing calls, responding to inquiries, taking messages, and placing outgoing calls.

You will also process incoming and outgoing mail, coordinate appointments, maintain calendars, and accurately enter and track inmate grievance and appeal records.

Work Schedule and Additional Information:

  • Full-time employment, 37.5 hours per week
  • Work hours are 8:00 AM to 4:00 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: In some cases, the starting salary may be non-negotiable.

Qualifications

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Special Requirements:

  • This position requires keyboarding skills to meet standards for speed and accuracy.
  • This position requires the ability to take and transcribe dictation.


Additional Requirements:

  • You must understand how to efficiently use and navigate a PC.
  • You must have at least two years of experience using Microsoft systems (such as Word, Excel, and Outlook) and other software packages to create and maintain spreadsheets, calendars, documents, rosters, and similar items.
  • You must have the ability to work with various office equipment such as: scanner, printer, fax machine, computer, tablet, telephone, personal communication devices etc.
  • You must have electronic communication tools or skills, such as video conferencing, and creating meetings in Microsoft Teams or Zoom.
  • You must be able to perform essential job functions.

Additional Requirements:

  • Successful completion of basic training in Elizabethtown, PA is required.
  • You must be able to perform essential job functions.

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
