The County of Ventura offers an attractive compensation and benefits package that includes:

Merit Increases – New employees are eligible for an initial 5% merit increase within the pay range upon completion of at least 1,040 hours (approximately 6 months) assuming work meets satisfactory standards.

Subsequent merit increases within the pay range will be upon completion of each additional 2,080 hours (approximately one year) from the initial merit increase.

  • Educational Incentive An educational incentive of 2.5% for completion of an associate's degree, 3.5% for completion of a bachelor's degree, OR 5% for completion of a graduate degree.
  • Bilingual Incentive Based on agency need, proficiency levels by exam are $.69 per hour (Level I), $1.00 per hour (Level II), or $1.32 per hour (Level III).
  • Vacation Accrual – New regular, full-time employees shall accrue approximately 14 days of vacation a year for the first 10,400 hours or 5 years of service; vacation accruals increase at 5, 11, 12, 13, 14, 15 and 20 years of service topping out at 26 days a year and 400 hours of vacation hours banked.
  • Annual Leave Redemption – After 14,560 hours of continuous County service an employee may elect to "cash in" or redeem up to 80 hours of vacation accrued in the same year after using 80 hours of vacation in the preceding 12 months.
  • Sick Leave - Full time regular employees accrue 3.08 hours of sick leave per bi-weekly pay period with an advance at hire of 40.04 hours which will be balanced at the completion of 13 bi-weekly pay periods.
  • Deferred Compensation - Eligible to participate in the County's 401(k) Shared Savings Plan and/or the Section 457 Plan. This position is eligible for up to a 3.00% match on your 401(k) contributions.
  • Health Plans – Full time employees are given a flexible credit allowance to offset the purchase of medical, dental, and/or vision insurance for you and your dependents.
  • Flexible Spending Accounts - Pre-tax benefit towards eligible medical, dental and vision care and/or dependent care expenses.
  • Pension Plan - Participation in the County's defined pension plan, which has reciprocity with CalPERS.
  • Holidays - 13 paid days per year which includes a scheduled floating holiday.

  • POSITIONOffice Assistants, under direct supervision (I) and general supervision (II), perform a variety of clerical duties in support of the Assessor’s Office.

    Support activities may include public service, records maintenance, document production and/or processing.

    Ideal candidates will possess good attention to detail; good communication, interpersonal, organizational, and customer service skills; the ability to respond and adapt to changing working conditions; and the ability to learn and support a department's business operations in ways consistent with its policies and procedures.

    Office Assistant I is the entry level classification in this job series.

    Incumbents perform routine clerical and/or manual tasks with simple, clear-cut instructions involving no more than a few steps and limited knowledge of operational processes and procedures.

    Office Assistant II is the journey level classification in the job series. Incumbents perform a variety of clerical duties according to established criteria and prescribed procedures.

    Some independent judgment is required in choosing among alternative courses of action in mostly standardized operations or routine situations.

    PAYROLL TITLES AND APPROXIMATE SALARIESOffice Assistant I: $21.00 - $28.36 per hourOffice Assistant II: $22.22 - $31.03 per hour NOTE: If appointed at the lower level, incumbent may be promoted to the higher level without further exam upon meeting the minimum requirements, demonstrating satisfactory performance, and in accordance with the business needs of the department.

    VETERANS’ POINTS: Office Assistant I/II is a trainee/entry level classification, and Veterans’ Points may apply to eligible applicants.

    The eligible list established from this recruitment may be used to fill current and future Regular, Temporary, Fixed-Term, Intermittent, and Extra-Help vacancies.

    There are currently two (2) regular vacancies within the Assessor's Office.

    Office Assistant I/IIs are represented by the Service Employees' International Union (SEIU) and are eligible for overtime compensation.

    Requirements

    Depth and breadth of assignments increase at each level and may include, but are not limited to, the following:

    • Answers phone calls; determines how incoming calls should be routed; directs people to appropriate divisions, offices and/or proper information sources; answers routine questions; explains routine procedures, processes, or departmental activities; schedules appointments, trainings, or examinations; obtains routine factual information to create or update files; provides assistance in the completion of forms.
    • Operates a variety of automated office equipment.
    • Types a variety of documents in draft and final form, including correspondence, standard forms, charts, proposals, specifications, and reports from written, recorded, or printed sources and/or verbal instructions; proofreads typed materials for correct grammar, spelling, and punctuation.
    • Sorts and/or files materials, including correspondence, official documents, and property information; maintains files; conducts systematic search for misplaced materials; maintains cross-reference files or indices; purges filing systems as necessary.
    • Uses computerized equipment to produce routine reports, correspondence, or forms; enters, updates, and/or extracts stored information using such equipment.
    • Prepares, validates, processes, and/or checks a variety of documents, including permit applications, property records, for completeness, accuracy, and submission standards.
    • Compiles routine reports and records by extracting and/or tabulating information from a variety of sources, including files, correspondence, meeting notes, logs, previous reports, and/or verbal instructions.
    • Transfers professional and technical instructions to project files; researches reference materials to respond to inquiries.
    • Performs other related duties as required.

    Qualifications

    These are entrance requirements for the examination process and assure neither continuance in the process nor placement on an eligible list.

    EDUCATION, TRAINING, AND EXPERIENCE

    Office Assistant I - No experience or training is required; however, applicants must demonstrate possession of requisite knowledge, skills, and abilities listed below.

    Office Assistant II - Any combination of education, training, or experience equivalent to two (2) years of office clerical experience.

    NECESSARY SPECIAL REQUIREMENTS

    • Basic computer skills.
    • Basic proficiency in Microsoft Word, Excel and Outlook.
    • Prior work experience answering phone calls.
    • Prior work experience assisting customers in person.
    • Able and willing to occasionally stand, bend, and stoop.
    • Able and willing to occasionally lift up to 25 pounds.

    Supplemental Information: Work is primarily performed in an office environment and involves moderate to heavy public contact.

    Knowledge, Skills, and Abilities:

    Some to thorough knowledge (depending on level in series) of: modern office methods and practices; record maintenance systems; letter writing and report compilation and public contact techniques.

    Working to considerable knowledge (depending on level in series) of: the operations, procedures and practices used in support of the function to which assigned; techniques to expedite or improve clerical tasks and record processing; correct English usage, spelling, grammar and punctuation.

    Working skills (depending on level in series) in: performing and demonstrating basic computer skills with basic proficiency in Microsoft Word, Excel, and Outlook; answering phone calls and assisting customers in person.

    Working to thorough ability (depending on level in series) to: perform and coordinate moderately difficult and responsible clerical work with little or no direct supervision; set up and maintain records and filing systems; extract information from a variety of sources; operate a variety of automated office equipment; accurately perform and proof the transfer of information from one document to another; occasionally stand for extended periods of time; occasionally lift up to 25 pounds; establish and maintain cooperative working relationships; understand, follow and convey written and verbal directions.

    The eligible list is valid for a period of one (1) year.
