Job Description

Summary

The Archives Associate role at Nashville Public Library involves helping people access historical records, guiding research, leading tours, and maintaining archives collections in a busy public setting.

Key Requirements

  • Bachelor's degree from an accredited college or university (or equivalent experience in library, customer service, or public service at a 1:1 ratio)
  • Knowledge of archives policies, procedures, and local history
  • Experience working with archival materials, including processing records and conservation techniques
  • Skills in providing public reference services, research guidance, and assisting with online databases and internet resources
  • Strong customer service abilities for in-person and telephone interactions, including conducting tours and outreach
  • Proficiency in creating and maintaining computer databases, as well as scanning and digitizing documents and photographs
  • Ability to write reports, participate in meetings, and handle special projects or supervisory duties in the supervisor's absence

Full Job Description

The Archives Associate is a Civil Service position located in the Nashville Public Library. The incumbent performs paraprofessional and clerical work involved in day-to-day operations of a public library in the archives division, and is also responsible for related duties as required.

Requirements

  • Provides direct archives services to the public, such as reference and research guidance and outreach as assigned.
  • Conducts tours for school and community groups.
  • Assists the public with archives resources and services, including use of on-line databases and internet resources, locating materials and information.
  • Adheres to library Customer Service Guidelines.
  • Writes reports on various aspects of services provided.
  • Performs duties involved in processing original records for public use.
  • Files, maintains and updates records or reference materials.
  • Creates and maintains computer databases.
  • Processes original records for public use and performs conservation techniques.
  • Attends meetings and participates on committees as needed.
  • Assists with special projects.
  • Oversees and participates in opening and closing the archives division.
  • May assist with training classes for staff and the public.
  • May serve as the person-in-charge in the absence of the supervisor.
  • May review and recommend books and other materials for purchase.

Qualifications

Bachelor's Degree from an accredited college or university

*Additional library, customer service, or similar public service experience may be considered in lieu of education (1:1 ratio).*

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
